Community Manager Assistant

Assistant Community Manager (Blue Bell) Busy Blue Bell office needs a HIGHLY SKILLED administrative assistant to the VP of Community Management. Must be able to multi-task and have a high level of skill with MS Office Products, especially, MS Excel. The position is for an Assistant Community Manager. There are some required evening Association meetings to attend. You will need to be physically active enough to perform property inspections at condominiums and homeowner associations. Prior community management experience is preferred but not required. Immediate opening. After 90 days, health insurance, vacation and 401K benefits. Email your resume to [email protected] • Must possess excellent MS Office Products Skills.• Update all unit owner information. • Update directories with unit owner changes. • Send correspondence to entire complex when needed. Type, print, stuff and mail envelopes. • Set up new properties by input ting all unit owner information and charges. • Handle phone calls for work orders. • Complete work orders and fax/email to contractors or vendors. • Maintain vender certificate of insurances.• Follow-up on work order completions and send letter to the owners. • Keep work order logs up to date, updating upon receipt of invoices. • Send violation letters out to owners and follow-up on clearing the violations and or fines. • Handle the follow-up phone calls from the unit owners with violations. • Keep violation logs up to date. • Receive and process exterior alteration requests, including logging in, copying, forwarding to Board and sending written approval/denial to unit owners. • Oversee inventory of property documents. • Prepare resale packages to meet state law requirements. • Maintain resale logs.• Go to Board Meetings in evening when asked by Manager to attend. • Perform weekly or monthly walk-about property inspections when needed per contract. • Handle all unit owner phone calls from 8:30 AM until 5:00PM. • Handle all requests from Community Manager. • Compassionately handle homeowners when in a crisis, and resolve the crisis situation. • Process invoices for the Community Manager to review.• Filing and file organization.
