Deloitte’s Business Operations team is seeking a bilingual executive assistant, now known as a Paraprofessional, to support our Executive team. The Paraprofessional will provide administrative support for tree or four partners. The individual will work alongside other Paraprofessionals to proactively support the administrative needs across the Executive office. The successful candidate will be detail-oriented, anticipatory, organized and able to work independently in a fast-paced environment while managing confidential information and navigating senior-level relationships. The successful candidate will have experience managing senior-level needs as part of a team, or other experience demonstrating a proven ability to grow quickly in this role, e.g. project coordination experience.

A Paraprofessional provides exceptional administrative support according to the needs of the specific partners assigned. This includes, but is not limited to:

  • Drafting correspondence, managing email and calendars, making travel arrangements;
  • Using the firm’s resources/software for reporting and filing purposes such as expenses;
  • Representing the partner in a professional and confident manner, in both written and verbal communications, internally and externally;
  • Handling work-related matters on behalf of – and alongside – the partner, some of which are highly confidential in nature;
  • Demonstrating an unwavering attention to detail and ensuring the highest level of quality in all of their work, while working under challenging deadlines;
  • Developing business acumen in order to anticipate needs (e.g., independently anticipating the next step in a process, prompting the appropriate people, being resourceful and one step ahead);
  • Identifying opportunities to be a brand ambassador by building strong relationships with the partners’ internal and external clients, so that access to clients can be expedited via these positive relationships;
  • Proactively managing the partners' schedules with respect to client events and business-related activities, with appropriate input and direction;
  • Working collaboratively, leveraging appropriate firm resources (e.g., One Team and other shared services) to manage, own and minimize administrative tasks of the partners; including seeking opportunities to improve processes and streamline work in collaboration with the broader paraprofessional team;
  • Coordinating and attending internal/external meetings as requested to document action items for independent follow up;
  • Supporting the agile workplace by managing daily workspace reservations and other required resources;
  • Remaining flexible and accessible after hours.

External Posting Qualifications


  • Bilingual in French and English;
  • Minimum 5 years' experience supporting multiple executives, in a professional, fast-paced and deadline-driven environment;
  • Exceptional commitment to client service and continuous improvement;
  • Ability to deal with highly confidential information; diplomacy, conciliation and discretion are all vital in this role;
  • Ability to work with minimal supervision and direction;
  • Excellent verbal and written communication skills;
  • Strong attention to detail, research and problem-solving skills;
  • Effective decision-making ability;
  • Confident communication and active listening skills;
  • Excellent interpersonal skills and a demonstrated ability to build effective relationships and work collaboratively in a team environment;
  • Demonstrated enthusiasm for continuous learning relevant to the role;
  • Flexibility to work overtime, when required;
  • Computer savvy; ability to become proficient with various software applications specific to the firm’s needs. Advanced level knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat. Nice to have: Aderant and CRM.
