Legal Administrative Associate

Role Value Proposition: 

This job is responsible for providing legal administrative assistance to the Litigation Section attorneys as well as other areas within Legal Affairs.


Key Responsibilities:

  • Communicating with business partners and Law Department colleagues and their administrative assistants to schedule meetings or deliver documents/information
  • Maintaining calendars, including scheduling appointments and meetings with internal and external associates, vendors and their assistants
  • Answering telephones, directing inquiries as appropriate, for prompt and efficient resolution
  • Drafting and revising correspondence as needed
  • Assisting with the processing of invoices
  • Creating Legal Holds and generating related reports
  • Creating and managing files, status updates into a matter management system, and maintaining attendance and timekeeping records
  • Prioritizing and managing multiple projects for the attorneys and following through on issues promptly and effectively
  • Scheduling Continuing Legal Education courses, tracking renewal dates for Bar Admissions, processing Bar renewal payments, tracking credits needed and completed by each attorney
  • Scheduling travel to/from business trips including airfare, hotels, car service etc. and taking initiative to collect receipts and submit reimbursement requests promptly
  • Ordering equipment and supplies, as necessary
  • Managing a wide range of administrative support tasks and providing general administrative assistance as necessary for the administration of the office


Essential Business Experience and Technical Skills:

  • Experience working in a law firm or insurance company legal department is preferable
  • Excellent phone skills
  • Demonstrate ability to discretely handle sensitive and confidential information
  • Strong oral and written communication skills, including an ability to draft well-written correspondence
  • Candidate must be technology savvy, adaptable and trainable



  • 1-3 years administrative assistant experience – preferably with Legal Affairs Departments in similar environments
  • Proficient in MS Word 2010, including Excel and PowerPoint, as well as Adobe Acrobat and Fusion
  • Must manage own performance independently and effectively, be detail oriented and well organized with excellent time management skills
  • Ability to work in fast paced business environment


  • High School diploma with work experience as described above
  • At least one year higher education
