Contract Coordinator

Irvine Company’s Development Community (ICDC) oversees land development, infrastructure, planning and design, residential construction, land sales, marketing and agricultural operations within our master planned communities.  At the core of the Irvine Company’s residential development and community building efforts, ICDC is responsible for designing and delivering distinctive neighborhoods of the highest quality.  


Position Summary:

The Project Coordinator is responsible for coordinating all project-management activities in close collaboration with, and in support of, the Director, Construction.

Job Duties:

  • Manage project-specific Procore website, ensuring that owner-side information is accurate, complete, and timely.
  • Manage project-specific Buzzsaw website, ensuring that all plans, specifications, reports, and bulletins are properly uploaded, organized, and distributed in accordance with established standards and protocols.
  • Manage all hard-copy plans, specifications, and reports, ensuring proper labeling, organization, updating, distribution, and placement on designated plan racks.
  • Attend weekly Owner/Architect/Contractor (“OAC”) on-site meetings, taking detailed notes and subsequently comparing and analyzing meeting minutes issued by the general contractor to ensure that the owner’s position is accurately reflected in all published meeting minutes.
  • Gather, distribute, and maintain detailed construction schedules issued by the general contractor.
  • Coordinate, participate, and monitor Construction Schedule Reviews and report any potential schedule deviations to the Director, Construction.
  • Facilitate, via regular monitoring of the Procore website, the processing of submittals and samples in accordance with the Project Schedule. Gather, log, and route, and maintain physical samples, storing and maintaining same after formal approval.
  • Facilitate processing of RFI’s, submittals and samples among the General Contractor, the owner and the owner’s consultants, ensuring that all responses are done in accordance with the Project Schedule.
  • Assist the Director, Construction in the review, investigation, analysis, and validation of all field directives, potential change orders, and change orders. Facilitate the timely processing of approved change orders.
  • Coordinate all consultant and in-house quality assurance field inspections, and keep accurate log of all tests and inspections. Gather, organize, distribute, and file consultant field inspection reports.
  • Update, distribute, and maintain weekly executive summary construction reports.
  • Distribute office correspondence and communications to department teams related to weekly and monthly status reports.
  • Incorporate the monthly construction updates into the Development Project Management reports.
  • Update, distribute, and maintain the construction milestone and unit turn schedules. Distribute to Senior Management, Construction, Development, UP&D, and Operations.
  • Manage the administration, organization, maintenance, and updating of all project files.
  • Assist the Director, Construction in processing “pencil draws”, and ensure timely processing through funding.
  • Coordinate and schedule mock-ups in accordance project schedule, communicating with the Director, Construction, the Irvine Company Quality Assurance Group, the Consultants, and the General Contractor.

Education & Experience



  • Bachelor's degree from a four-year college or university, preferabbly in Construction Management, Real Estate Development, Design, Engineering, or Business Management.
  • 5+ years of multifamily project mannagement support, or related experience and/or training, or equivalent combination of education and experience.
  • Must be organized and capable of managing tasks on multiple, concurrent projects.
  • Must be skilled in reading and interpreting plans and specifications, or must be willing to acquire such skills.
  • Must have excellent oral and written communication skills.
  • Must have well-developed interpersonal skills with the ability to establish highly functional relationships with diverse personalities both within and outside the company.



Computer Skills



  • Intermediate MS Outlook, MS Word, and MS Excel.
  • Intermediate MS Project and other Project Management programs such as ProLog or Procore.
