The Aerospace Corporation is looking for an experienced Administrative Specialist to support the Advanced Development and Planning (ADP) Division in Albuquerque, NM.  The primary responsibility for this position is to provide administrative support to the Agile Space Acquisition and Implementation (ASA&I) Department but also includes back-up administrative support across the ADP Division and may include support to personnel in the Space Innovation Directorate or ADP Division.  Additionally, collaboration with the small Albuquerque administrative and support staff across all local divisions and groups is required. The successful candidate will be responsible for monitoring projects and schedules for engineers in three geographically-separated locations, arranging travel, supporting meetings, editing and compiling reports, and synchronizing with local Air Force customers and a range of Aerospace corporate offices. Strong candidates must have the initiative to reach out to offices and agencies to strengthen existing relationships, and will build positive relationships across the company while keeping up-to-date on business objectives, policies, procedures, and related information. The successful candidate will complete tasks and projects quickly, prioritize and react with appropriate urgency to new tasks, and positively represent the ASA&I Department. Impeccable integrity and discretion in handling confidential information along with the utmost professionalism is essential.


  • Full-time, permanent position
  • Provide administrative support to the ASA&I director and technical staff and other departments and directorates in the Advanced Development and Planning Division
  • Provide back-up support to other administrative specialists across ADP/Albuquerque as needed; may back-up high or lower level admin specialists
  • Administer a wide range of duties that require coordination across multiple time zones
  • Plan ahead, prioritize, and handle real-time responsibilities
  • Routine duties include:
    • Make travel arrangements and process expense reports
    • Track staff time cards
    • Order and maintain office/printer supplies; other procurement tasks as required
    • Maintain calendars and conference room schedules
    • Coordinate and support meetings to include catering, conference room, set-up, and VTC operation
    • Manage confidential and sensitive information with discretion
    • Answer phones, take messages, receive guests
    • Organize, provide, and coordinate incoming and outgoing mail and shipments
    • Maintain group databases, calendars, and other shared information
    • Prepare and format reports, memos, correspondence, and forms
    • Support group inventories and information tracking systems
    • Coordinate access to Kirtland AFB and a variety of buildings for Aerospace employees and visitors
    • Proactively organize administrative information for maximum utility
    • Other tasks assigned as required
  • Extensive, daily use of computers for preparation of administrative paperwork, correspondence databases, briefing charts, and other technical material is required

  • 6 or more years of relevant experience providing administrative or executive support
  • High School Diploma
  • Expert level user in Microsoft Office, specifically Outlook, Word, Excel, PowerPoint, and SharePoint
  • Experience with foreign and domestic travel coordination
  • Exceptional written and verbal communication skills
  • Impeccable organizational skills, detail oriented, and ability to prioritize tasks and projects
  • High level of integrity, discretion, professionalism, and customer service
  • Demonstrated flexibility and ability to adapt to changing organizational needs; must work well in team environment
  • Willingness to learn and perform mission support functions unique to regional offices
  • Ability to obtain and keep a DoD Secret clearance



  • 10 or more years of relevant experience providing administrative or executive support
  • Bachelor’s Degree
  • Knowledge of corporate policies, practices, travel, and procurement
  • Active government security clearance



  • Ability to sit or stand for extended period of time.
  • Ability to use a computer to complete assignments.
  • Ability to communicate with individuals and groups in person, by phone, and telepresence.
  • While performing the duties of this job, the employee will typically work in an office environment.
  • Some lifting required.
