A vacancy has arisen for an experienced service coordinator within a business based in North London. We are looking for a friendly, hands-on team player with excellent customer service skills, a "can do" attitude and, most important, experience in the service and maintenance industry.
Must be Excel/Word literate and have a good telephone manners.
This is a very varied role covering all aspects of a service coordinator, logging calls from customers, organising engineers’ day-to-day schedules, ordering equipment and required parts - the ability to multi-task and knowledge of the industry is a must!
Service coordinator duties: Liaise with engineers and handypersons daily, allocate jobs, prepare materials and parts, and send emails to communicate by emails or Whatsapp to gather more information regarding jobs or to change/add extra jobs during the dayTrack engineers/handypersons using tracking devices Fleetsmart and Autonomies and others if applicable. Ensuring that working hours are recorded accurately and by the Caterglobe agreementMonitoring stock levels and organising equipment transfers from a different warehouse
Planning jobs ahead, jobs to be scheduled at least for the week aheadAnswering phones, dealing with customer queries and booking jobsCreate repair reportsSend installation/warranty reports to our clients
Prepare list for the new installations and keep track of the bulk order
Respond to repair requests to all clients using email, pronett or any other platform
Order parts/materials, and produce short quotations (soup kettle delivery, toaster delivery etc.)
Keep track of the ordered parts and print invoices
Produce daily, weekly or monthly reports from small projects, keep track, inform the client about the outcome
Maintain and continuously update the Pronett Maintenance Portal and provide administrative support where needed. Close jobs from the quote with description and pictures, add information about deliveries that have been done if the quote can’t be closed by us
Assist and keep the calendar updated (new installations, necessary call-outs, deliveries etc.)
Manage phone calls and correspondence, send small equipment (toasters/soup kettles/baskets etc.)
Interacts with directors and carries out their requests
Help and assists colleagues in resolving problems whenever necessary to cover the essential duties during their absence
"Phone weekends" - cover every other weekend. Answer phone calls in case of emergency call-outs, assign to an engineer on duty or correct subcontractor
Ordering equipment with suppliers and researching new items
Run & monitor daily progress reports, ensure these are updated. The details are logged on the internal IT systems
Co-ordinate and monitor engineers and subcontractors effectively to ensure works are completed to standard and within set timescales
Deal with routine queries by email, telephone, letter and face to face. · Maintain and update our IT systems; including Pronet, Microsoft & Outlook, and IAuditor
Receive repair requests and process accordingly
- Proven experience as a service coordinator
- Knowledge of Restaurant Operations (desirable)
- Outstanding communication, customer service and interpersonal abilities
- Excellent organisational and prioritisation skills
- Ability to work with little/no supervision
- Excellent time management
- Strong attention to detail
- Ability to multitask
- Knowledge of Pronett and other maintenance portals (desirable)
- It will be definitely on plus if you have ever worked in this industry or maybe you have been engineer or handyman
- Monday to Friday 8:00 am - 5:00 pm (incl. 30 min. lunch break)
- 42.5 hrs per week
