Job Summary
To provide a professional, customer focused service to our potential and existing customers and efficient administrative support to the Multi Utilities Design team.
Principal accountabilities
SAFETY
Issue existing utility records to clients and construction teams as and when requested.
Keep passwords and access live for all existing record software.
CUSTOMER
Provide an excellent customer experience for all clients.
Make & receive calls ensuring prompt answers to queries and requests for information.
On receipt of an enquiry formally request additional/missing information using the correct proforma.
Log, progress and acknowledge all new enquiries within 24 hours of receipt.
PEOPLE
Liaise with the Business Development team at least once a week to ensure the designers can issue quotes in a timely manner and to adhere to agreed time constraints.
Liaise with the Finance Department requesting payment for POCs within 24 hours of receipt.
Provide cover for other administrative roles during sickness and holidays.
When the designers workload dictates, assist with design approval submissions.
INTEGRITY
Liaise internally and externally to ensure tender information is kept up to date, trackers and Work Management Systems (WMS) are updated with the latest up to date information.
Always provide a professional administration service to the division, ensuring correspondence is 100% accurate and distributed in a timely manner.
Ensure the Work Management System is always kept fully updated.
SUSTAINABLE
Tracker Management Design Approval, Agreements, Asset Values, Substation legals, Fire Authority.
Send local fire authority water designs and request if any hydrants are required. On receipt of a response update WMS and if a hydrant is required email a copy of the request to Commercial and pass a copy to CAD to amend the design.
EXCELLENCE
Ensure all point of Connection applications (POCs) and land enquiries are sent to all relevant DNOs with 24 hours of a completed enquiry application.
Asset Value Applications (A/Vs) to ESP, GTC and LEEP asset owners for Electric, Gas and water assets relevant to the individual scheme are processed in a timely manner, ensuring the DNO and the number and type of dwellings are correct.
Ensure all connection and adoption agreements are signed and sent within 2 days of receipt. Track there return and submit to the asset owner within 24 hours of receipt.

Qualifications and Experience
3 Years experience in a similar role
Experience in utilities processes and terminology
Skills and knowledge
Good working knowledge of the Utilities industry
A good working knowledge of Microsoft Office products / internet and email
A good understanding of safe working practices / basic H&S requirements
Excellent planning and organisational qualities
Appreciation of DNO/IDNO processes
Knowledge of the street works notification process
