The primary role of a project support administrator is to help our clients team of project managers in executing operational and administrative tasks. This includes, but is not limited to, organizing project schedules, overseeing project budgets, preparing project status reports, and creating project presentation materials. Besides that, they also manage project correspondence and maintain project documentation.

This role is customer service role and as such you will need to work on a collaborative basis to ensure that both your internal and external stakeholder’s needs are being set and exceeded, many of your customers will come to you in their time of need.

You will have to work closely with your colleagues in order to ensure that we deliver the best service experience that we can, recommending process improvements, allocating resources and setting expectations on a daily basis.


The role holder will be able to work collaboratively with other members of the company across all key functions to achieve your objectives, and assist others in achieving theirs.

You will be able to lead by example and display their core values. Interaction with key external stakeholders and customers will also be required.

Have at least 12 months’ experience in a Junior Project, PMO or Project Support function

Ability to build superb relationships with customers, as well as the internal teams

Can exert good leadership skills and are well-able to coordinate workers and facilitate team communication; getting the best out of people

Strong communication skills (verbal, written and listening): an ability to present information professionally, concisely and to communicate in a manner applicable to all levels

Strong Microsoft Office skills - Outlook, Excel, Word, PowerPoint, Project

Beneficial - formal Prince 2, Agile or some form of Project Training

An appreciation of the concepts and processes required within project management

Able to produce high quality and professional presentations

The role Add control and structure to projects

Act as a central point of contact and ensure smooth running of the Project Office, supporting the rest of the PMO team

To maintain and update project and resource plans, largely using Microsoft Office Suite

Create reference documentation used to manage the project, and support preparation of project documentation

Provide progress updates on projects, modules, tasks, actions, issues and risks

Track the progress and quality of deliverables across workstreams

Support existing and develop improved document management systems and processes

Develop reports and correspondence independently

Maintain existing CRM reports on key project data

Act as Configuration Librarian. Manage project file systems

Adhere to data collection and management procedures to prepare, collect, record and input data

Maintain an accessible central repository for risk & issue logs, and lessons learnt

Ensure proper state of change requests and document them

Create presentation documentation for Customer meetings

Management of small, less complex projects

Act on occasion as an Assistant Project Manager on projects, taking responsibility for the delivery of predefined tasks

Coordinate project administration (meetings, workshops, agendas, notes)

Attend key internal and external meetings, produce and distribute minutes

Coordinate travel needs, schedules and meetings

Participate in internal project reviews and resource meetings
