Office Coordinator

Home Instead, a successful non-medical home care company, is seeking an Office Coordinator.  This role supports a busy office environment by working in our cloud-based database system to assist the various departments of our growing team. Candidate must answer incoming calls, greet visitors, organize the office filing system, manage the online newsletter, and monitor and order all needed supplies, among other duties.  Due to the variety of duties that are required, a well organized and detail oriented candidate is required. 

Our office is located in Center City Philadelphia, but we support seniors all over Philadelphia.  This position is office based with the hours of Monday through Friday 8:30am - 5pm.   Pay for this position is $16.00 - $20.00 per hour, depending upon experience.  For more information about our company view our website at www.homeinstead.com/philly.

The successful candidate will have:
  • Strong computer skills and comfort working in databases and on Internet browsers.
  • Excellent organizational skills, problem solving skills, and customer service.
  • Good telephone voice and skills. 
  • Full understanding of Microsoft Word, and preferably all of Microsoft Office. 
  • Will bring their own team player attitude to our team-oriented environment.

Job Responsibilities may include but are not limited to: 
  • Assist with billing, including client invoices, Insurance Correspondence, and CAREGiver Payroll
  • Enter and maintain accurate client and CAREGiver records in the operating system
  • Determine each caller or visitor's purpose in a pleasant manner and promptly notify the appropriate staff member
  • Demonstrate open and effective communication with Office Staff, Clients, and CAREGivers
  • Create and Maintain Client and CAREGiver Files
  • Assist with the Onboarding of New Employees
  • Order and maintain office supplies
  • Facilitate the distribution of supplies and materials to CAREGivers and Clients 
  • Maintain mailing lists and create the monthly newsletter
  • Ensure Home Instead standards are met and upheld
  • Maintain regular attendance at the office to execute job responsibilities
  • Perform any and all other functions deemed necessary
