Description

The Orange Umbrella is an OT-founded NDIS provider delivering disability, allied health, psychosocial, mental health, personal care and community supports across Adelaide. We support participants with diverse and often complex needs.

With 40+ support workers, strong rostering, communication, and problem‑solving are critical to keeping services running smoothly.

The Role

If you are a general admin or receptionist, this is not the role for you.

This role suits someone who thrives under pressure, can juggle a large workforce, and knows how to keep services running when things change quickly.

As our Rostering Coordinator, you will be responsible for coordinating and maintaining rosters. This is not just scheduling. You are responsible for making sure services are delivered, shifts are filled, and problems are solved quickly.

You will work closely with support workers and leadership to ensure participant supports remain consistent, compliant, and well‑managed across a 7‑day roster.

What You’ll Actually Be Doing

  • Filling shifts across a 7‑day roster
  • Managing last‑minute cancellations and finding replacements quickly
  • Matching the right staff to the right participants
  • Reducing gaps and maintaining strong billable utilisation
  • Communicating daily with support workers and coordinators
  • Maintaining accurate data in CareVault (or similar systems)
  • Monitoring workforce availability and service delivery needs
  • Planning ahead to prevent issues, not just reacting to them
  • Supporting continuity of care for participants with complex needs

Monday to Friday role 8am – 4pm

This Role Is NOT For You If

  • You prefer predictable, slow‑paced admin work
  • You avoid difficult conversations with staff
  • You need constant direction or supervision
  • You become overwhelmed managing competing priorities

This Role IS For You If

  • You have rostering or scheduling experience in NDIS, healthcare, aged care, community services, or similar environments
  • You can manage competing priorities without losing focus
  • You are confident, direct, and solutions‑focused
  • You think ahead and proactively prevent problems
  • You communicate clearly and professionally
  • You are comfortable being accountable for outcomes
  • You can build strong working relationships with staff while maintaining operational expectations
  • Rostering or scheduling experience (NDIS highly regarded)
  • Experience coordinating 30+ staff or equivalent operational complexity
  • Strong system skills (CareVault, ShiftCare, or similar)
  • Solid understanding of availability, shift coverage, and service delivery requirements
  • Strong organisational and communication skills
  • Ability to work effectively in a fast‑paced operational environment

What Matters Most

We are not looking for someone to “help with admin.”

We are looking for someone who can take ownership of rostering and help keep the operation running smoothly.

You will need to be reliable, adaptable, solutions‑focused, and capable of making decisions quickly when circumstances change.

Fully supported by Senior Management, an after hours emergency team, senior disability support professionals.
