Executive and Personal Assistant

We are seeking a highly organised, proactive, and discreet Personal Assistant & Executive Assistant to support a Senior Executive in both professional and personal capacities. This role requires exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast‑paced environment. The ideal candidate is a trusted partner who anticipates needs, takes initiative, and ensures seamless day‑to‑day operations.

About the Role

Executive Support

  • Manage and prioritise the executive’s calendar, appointments, and meetings.
  • Prepare agendas, take minutes, and coordinate follow‑up actions.
  • Draft, proofread, and manage correspondence, reports, presentations, and documentation.
  • Coordinate domestic and international travel, including itineraries, bookings, and logistics.
  • Handle confidential information with discretion and professionalism.
  • Liaise with internal stakeholders, clients, board members, and external partners.
  • Assist with project management, tracking deadlines and deliverables.
  • Prepare briefing notes and ensure the executive is well‑prepared for meetings and events.

Personal Assistance

  • Manage personal appointments, errands, and household administration as required.
  • Coordinate personal travel, events, and family logistics.
  • Assist with purchasing, bookings, gift management, and personal tasks.
  • Maintain confidentiality and exercise sound judgement in all personal matters.

Operational & Administrative Support

  • Organise files, records, and information for easy access and retrieval.
  • Manage expenses, reimbursements, and budget tracking.
  • Assist with task prioritisation and workflow optimisation.
  • Support organisational systems, processes, and improvements.

About You

  • Previous experience as a Personal Assistant, Executive Assistant, or similar role.
  • High‑level organisational and time‑management skills.
  • Strong written and verbal communication skills.
  • Competency with Microsoft Office and general digital tools.
  • Ability to work independently, manage competing demands, and meet deadlines.
  • High degree of discretion, confidentiality, and professionalism.
  • Excellent problem‑solving skills and attention to detail.
  • Experience in supporting C‑suite or Senior Executives.
  • Project coordination or administrative management experience.
  • Ability to adapt to changing priorities and responsibilities.
  • Experience across corporate, community, or multi‑business environments.
