The SAP Concur Global Technology team is seeking a new Group Administrator to handle administrative work for several leadership team members.  For this position, you must be able to multi-task, have strong MS Office skills, and the ability to communicate effectively.  

The ideal candidate will have:

  • Effective written and verbal communications skills
  • Ability to see the big picture as well as the details
  • Ability to react with appropriate urgency to situations and requests
  • Strong attention to detail with strong problem-solving and troubleshooting skills
  • Strong cross-team collaboration and organizational skills
  • Collaborate on planning and support of all-up events including All Hands, morale events and other events as needed
  • Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization
  • Proactive and able to identify and solve problems

This work includes:

  • Managing calendar for the managers on their behalf, potentially also including emails, calls and voicemails
  • Arranging meetings for managers including co-ordination of team meetings and larger external events
  • Co-ordination of travel arrangements, including organizational preparation and follow up like booking of travel expenses
  • Booking meeting rooms / venues for the team
  • Managing workflows and monitoring items like vacation requests, purchase orders, internal orders, distribution lists, Inventory etc.
  • Monitoring actions and manage reminders
  • Managing internal (and potentially external) correspondence
  • Updating materials including PowerPoint and excel spreadsheets for meetings and presentations
  • Preparation and follow up of meetings including taking meeting minutes
  • Managing shared drives and communities
  • Admin support for new starters into the team
  • Resolving issues with some complexity with limited guidance
  • Supporting internal projects, including decision taking within clearly defined framework of departmental guidelines and practices
  • Supporting knowledge sharing within the team and prepares decision taking
  • Community building & best-practice sharing between different offices

 To accomplish this, you will need:

  • Learning & problem-solving mindset. You strive to learn and to improve. 

 What do you bring with you?

  • 3 to 5 years of experience as administrative support or comparable experience
  • Experience with internal tools like corporate portals and SharePoint
  • College degree (or some college) preferred
  • English – Fluent
  • Proficiency with MS Office tools
