Position Overview

It is the duty and responsibility of the Customer Service Representative (order taker) to answer the phone promptly with a pleasant and accommodating tone of voice, take the customer's order(s) in a detailed, timely and professional manner, and schedule them properly and to record accurate delivery and product information on that order. The Customer Service Representative will also upon finishing the order, completely repeat the order back to the customer confirming all the information, recording any special instructions the customer might have and asking about any future jobs or work. Customer Service Representatives will also be responsible for negotiating delivery times or delivery quantity rates with customers, be a good listener and problem solvers and most importantly, foster lasting business relations with every customers they work with.

 

Key Responsibilities (Essential Duties and Functions)

  • To always have a pleasant and accommodating voice over the phone and demonstrate a positive, "Can Do” attitude.
  • Be honest and forthright with customers, while establishing a good working business relationships and build a rapport with our customers.
  • Make every effort to accommodate the customers’ requests or needs and negotiate acceptable delivery times and rates that can be kept and maintained.
  • To give the customer they are talking to 100% of their attention while on the phone and listen and record their instructions accurately.
  • Be proactive in calling customers both internal and external in advance of any delays in service or loading at the plant.
  • Keep the Transportation Manager informed of problems or concerns throughout the day that may require their knowledge or attention.
  • Keep a close eye on production and truck demand when scheduling to as not to cause delays or poor service.
  • Have a clear understanding of basic products and mix applications.
  • To get a clear understanding on their orders of job paving schedules, slowdowns, intersections, repositioning, etc.
  • Map and set Geo-Fences for each delivery order they take.
  • Assist with departmental reporting as needed.
  • Regular and predictable attendance at assigned times is required. 
  • Other duties as assigned.

     

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience

  • Minimum of a high school diploma or general education degree (GED) required.  AA degree or college level experience preferred.
  • Education and or experience in construction field required.
  • Customer Service Representative Experience preferred, but not required.

     

    Work Requirements

  • Must be 18 years in age or older.
  • Must pass pre-employment physical, drug screen and criminal background check.
  • Must maintain current driver’s license that meets state requirements.
  • Strict adherence to safety requirements and procedures as outlined in the Employee Handbook.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.
  • Must be willing to work nights and weekends when necessary.
  • Must have the ability to work without close supervision.

     

    Knowledge/Skill Requirements

  • Knowledge of paving, construction, and ready mix business.
  • Effective scheduling in WorkSchedule.net and HCCS Dispatcher.
  • Ability to take constructive feedback from internal and external customers.
  • Effective verbal and written communication skills and an ability to work with management.
  • Ability to maintain a professional demeanor and have a strong work ethic at all times.
  • Attention to detail and accuracy when placing orders.
  • Ability to operate office equipment including, but not limited to: computers, copiers, ten key adding machine, printers, etc.
  • Proficiency in personal computers/word processing, spreadsheets/databases, and relevant software packages.
  • Ability to analyze issues independently and perform under deadline pressure.
  • Ability to meet attendance schedule with dependability and consistency.

     

    Physical Requirements

  • Able to stand, walk, use hands and fingers to manipulate objects, talk and hear.
  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.
  • The employee is frequently required to sit and use hands.
  • The employee is occasionally required to stand and walk.

 

Work Environment

  • Standard office environment.
  • Tempo is fast-paced with deadlines.
  • The noise level in some areas of the work environment may be moderate.
