The University of Cincinnati, College of Engineering and Applied Science (CEAS) invites applications for an open Program Coordinator (PC) position within the Department of Civil and Architectural Engineering and Construction Management (CAECM).  The PC will provide reliable academic, program and administrative support to the faculty, staff and students of CAECM in accordance with local, state, federal, and university procedures and regulations.  The PC should have strong computer skills and excellent communication skills.  The PC should have the ability to multi-task effectively as part of a team; the ability to learn quickly in a fast-paced setting; the ability to focus on details and minimize work distractions.  The PC should recognize and uphold the need for confidentiality when dealing with student records and Department business.

 

 Primary Responsibilities:

  • Respond to public inquiries about CAECM programs; check CAECM email account.
  • Plan and organize schedule of classes in Catalyst for CAECM by coordinating with Classroom Scheduling and Undergraduate Director; update CAECM curriculum sheets.
  • Coordinate travel arrangements for faculty, staff, students, job candidates, seminar speakers. 
  • Organize class evaluations and senior exit interviews; assist student organizations.
  • Update and maintain student records, as needed, by the Academic Advisor.
  • Manage office key and badge access requests for employees and students.
  • Order and stock office supplies; refill all office printers daily; water office plants as needed.
  • Design booklets (LRFD scholarships), FAQ tour pamphlets, and banners for print and/or electronic media; maintain Department Facebook page; assist with Department newsletter.
  • Coordinate departmental events and meetings (annual golf outing, senior riverboat cruise, Dream Big, advisory board meetings); maintain annual calendar of events.
  • Schedule meetings (Doodle; Outlook); manage CAECM listserv accounts.
  • Coordinate the collection of data for required reports (accreditation and other) CAECM reports.
  • Record and retain the minutes of the CAECM meetings; maintain CAECM archive on-line.
  • Compile faculty ballots during e-mail voting.
  • Coordinate senior class photos with photographer.
  • Send correspondence to alumni (donation thank you; condolences; congratulations, etc).
  • Perform other related duties based on departmental need.

 

MINIMUM QUALIFICATIONS: Bachelor's degree with one (1) year experience; -OR- Associate's degree with three (3) years experience; -OR- five (5) years experience. Experience must be in program coordination or closely related area.
