Job Summary

Assists Project Managers Level I through IV in managing all aspects of multiple, concurrent capital projects by performing various project tasks and activities including, but not necessarily limited to, layout, coordination, communication and distribution of project related materials and documents to other project team members. Assistant Project Managers may manage a small project of very minor complexity and importance under the close supervision of a Project Manager or the Assistant Director for Project Management.  

Job Responsibilities

GENERAL CHARACTERISTICS:

Assists Project Managers Level I through IV in managing all aspects of multiple, concurrent capital projects by performing various project tasks and activities including, but not necessarily limited to, layout, coordination, communication and distribution of project related materials and documents to other project team members. Assistant Project Managers may manage a small project of very minor complexity and importance under the close supervision of a Project Manager or the Assistant Director for Project Management. 

  • Ensures that small, simple projects assigned are completed at or under budget.
  • Ensures that small, simple projects assigned meet or exceed established standards of quality.
  • Ensures that small, simple projects assigned are completed on or ahead of schedule.
  • Assists Project Managers in providing effective and timely project communications between all parties on a regular basis.
  • Assists Project Managers in developing layouts and multiple versions of various programs on assigned projects/tasks.

 

DIRECTION RECEIVED:

 

Receives regular instructions on specific assignments, complex features, and problem solutions.  Assistance furnished on unusual and complex problems and work is reviewed for application of sound professional judgement

  • Works within established project specific objectives.
  • Renders decisions on problems and methods of approach within project structure.
  • Resolves minor design issues and refers project scope conflicts to supervisor for direction and resolution.
  • Refers more complex and sensitive design issues to supervisors for direction and assistance for resolution.

 

TYPICAL DUTIES AND RESPONSIBILITIES:          
             

Assists the Project Manager in the supervision, review, and coordination a number of medium and small size projects with many complex features or may manage a small project of low or minor complexity under the direct supervision of a Project Manager.

  • Assists Project Managers in the development of cost estimates/budgets and may track budgets of smaller projects assigned.
    • Assists in developing overall detailed total project budgets for projects by seeking quotes from Vendors and other departments as related to their specific project tasks.
    • Refers requests for changes, modifications, and additions to project to supervisor for direction.
    • Seeks quotations from CHOP equipment and furniture vendors and General Contractors for projects and Capital Equipment Requests of small size and moderate complexity.

Job Responsibilities (Continued)

  • Responsible for Assisting in the management of the design phase of the project, monitoring and coordinating the activities of Architectural and Engineering Consultants on assigned projects.
    • Coordinates with the A/E throughout the design phase of the project to ensure that all project Design objectives are met.
    • Assists in reviewing documentation prepared by outside consultants for conformance to CHOP standards of design construction and Code compliance.
    • Assists the Project Managers in checking that the A/E plans and specifications contain adequate documentation to avoid future Cost Events/Change Orders.
    • Coordinates with the A/E consultants in Performing field surveys of existing project specific site conditions to avoid later discovery in the field during the construction phase.
    • Assists the Project Managers in providing information to the A/E and the project team concerning CHOP project design and construction standards, existing conditions, and any available “As-Built” information.
    • Seeks to gain a working knowledge of codes to ensure that all projects in design meet or exceed the latest code requirements for healthcare facilities (NFPA, AIA Guidelines, etc.) as enforced by the local Authorities having jurisdiction. 
  • Assists Project Managers in managing the construction phase of the project, monitoring and coordinating the activities of Construction Managers, General Contractors, and Subcontractors on assigned projects. 
    • Routinely walks active construction areas monitoring construction activity for conformance to project objectives, design specifications, and CHOP standards. Reports variances to Project Manager for corrective action.
    • Seeks to gain a working knowledge of codes to ensure that all projects in construction meet or exceed the latest code requirements for healthcare facilities.
    • Seeks to maintain clean, safe work sites such that surrounding Hospital areas are kept clean, paths of egress are kept clear, and construction and renovation projects do not detract or deter other Hospital departments and staff members from performing their respective duties. Reports discrepancies and issues of concern to the Project Manager who reports them to the Interim Life Safety (ILS) Committee, Security, and other departments as necessary to ensure there is no repeat of the incident.  Active member of the ILS Committee.  Assists in preparing and distributes to all project team members, the overall project schedule indicating all project milestones, completion dates, occupancy date, etc. and solicits input from various project team members in preparation of same.

  • Coordinates project implementation and project impacts with all affected departments by providing effective, clear, concise, and timely communication between all involved parties on a regular basis.
  • Schedules all utility interruptions to minimize disruption to CHOP operations and provides timely communications thereof to allow affected departments adequate time to prepare for utility interruption.
  • Routinely walks project construction areas monitoring job status/progress, manpower allocation, and established project milestones are achieved to ensure that targeted completion dates are met.  Reports variances to Project Managers as required to meet project objectives. 

     

     

  • Responsible for managing multiple, concurrent in-house projects of moderate scope and size.
    • Prepares in-house studies, layouts, and cost estimates for projects of moderate size and scope containing several complex components.
    • Coordinates the scheduling and construction of in-house design projects.
    • Seeks to apply architectural/engineering principles and applicable codes in designing in-house projects.
    • Assists in analyzing facility planning and programming information including occupancy, square footage, and impacts of proposed changes.
    • Communicates and coordinates regularly with the Project Coordination Team departments in the management of small to medium size and moderate complexity.
    • Prepares simple designs related to small projects of minor to moderate complexity entailing furniture layouts, equipment placement and connection, etc.

 

DIRECTION OF OTHERS:

May oversee, coordinate, and review the work of the project team on assigned projects to meet CHOP project completion dates, and established, project specific, goals and objectives.

  • Coordinates and communicates the overall project objectives to the project team.
  • Oversees the work of Outside Architectural and Engineering Consultants throughout project planning, design, and construction phases.
  • Schedules project team manpower and assignments to meet milestones, deadlines, and completion dates.  Knowledge of other department time sensitive issues and builds adequate time into project schedule to allow for them.
  • Supervises the work of the Construction Manager and other contractors.  Applies pressure as necessary to ensure projects are completed on or ahead of schedule.

Required Licenses, Certifications, Registrations

Required Education and Experience

Required Education: Bachelors in Mechanical, Electrical, Civil Engineering or Architecture.

 

Required Experience: Zero (0) to one (1) year experience in the design/management of renovation/construction projects or equipment installations. Seeking Engineer-in-Training or Architect-in-Training.

Preferred Education, Experience & Cert/Lic

Additional Technical Requirements

  • Demonstrates excellent verbal, written and communication skills.
  • Exhibits ability to achieve project objectives on multiple, complex projects running simultaneously.
  • Knowledge of building codes/standards and the application thereof.
