Village Travel is a family-owned company that operates over 150 charter motorcoaches and plans unique travel packages that are marketed to more than 27,000 households. In addition, Village offers traditional travel agency services, a fleet of Entertainer Coaches, and operates daily Beeline service. Most recently, we added Village Transport offering a fleet of Kenworth T680 tractor/trailers. The Company began in 1980 and has since expanded its regional footprint and continues to grow into one of the largest full-service charter and tour operations in the Midwest with offices in Wichita (KS), Salina (KS), Oklahoma City (OK), Tulsa (OK), Springfield (MO), Fort Smith (AR), Springdale (AR) and Little Rock (AR).

This is a Full-Time position, Mon - Fri, 8am-5pm, starting at $20/hr.

Summary:

The Dispatcher and Charter Sales Coordinator is responsible for effectively conducting all charter sales from initial customer contact to post trip follow up. Then dispatching coaches and drivers out of the specified Village Travel location. This person must be quick to respond to an ever-changing environment while maintaining composure under pressure.

Duties/Responsibilities:

Maintain excellent customer service skills.
Creates accurate charter quotes within 24 hours using estimated miles from itinerary and correct rates to ensure hours of service compliance.
Follows up on quotes and converts to sales contracts.
Obtains detailed final itineraries from customers and completes timely updates/changes to charter information.
Sends invoices, collects and processes payment information for charters.
Monitors accounts receivable and has zero outstanding balances past sixty days.
Records tips collected from customers and submits to accounting for driver disbursement.
Seeks out new motor coach business and advises GM of market changes and/or opportunities.
Communicate professionally and effectively with operations staff regarding scheduling or passenger matters.
Reschedule trips as needed while remaining calm in stressful situations.
Monitor operators and trip status, making changes and reassignments as necessary to ensure on time and safe arrivals/departures.
Manage multiple tasks at one-time in an effective manner.
Assign drivers in accordance with company expectations, policies and procedures adhering to hours-of-service regulations.
Answering both emergency and non-emergency telephone calls and assisting as needed.
Provide drivers with complete and accurate trip information per company expectations.
Exhibit a sense of urgency and effectively assign drivers to trips four days in advance.
Answer incoming calls.
Other duties as assigned.

Required Qualifications:

High School Diploma or GED required.
Excellent verbal, written and presentation skills.
Be able to manage time and resources effectively to meet sales objectives.
Must demonstrate judgement in balancing the needs of the customer with needs of the Company.
Analytical thinking skills to access situations.
Proficient in computer technology, Microsoft Office programs.

Preferred Qualifications:

Previous experience in sales environment or similar role.
Previous dispatch experience preferred.
Knowledge of Department of Transportation rules and regulations preferred.

Physical Demands:

While performing the duties of this job, the employee is regularly required to stand, walk, stoop, bend and sit.
The employee must regularly lift and move up to 25 pounds.
