Check-Out Secretary

I. Summary of Responsibilities - Check-out patients after office visits, schedule upcoming procedures, visits and radiology studies

Job Classification: Category II – Possible exposure to blood borne pathogens.

II. Qualifications

A. Education – Minimum of high school diploma or equivalent, MA certificate is a plus
B. Experience - Familiarity with windows-based computer programs
C. Skills - Good Communication skills – Ability to multi-task

D. Knowledge of Basic medical insurance plans, CPT and ICD-9 codes and keeping current with updates and pre-authorization guidelines

III. Job Relationships

A. Regular interaction with patients, providers, staff and out-side clients
B. Works cooperatively with manager, other check out staff in the office, and patient care

IV. Physical Activities and Requirements

A. Repetitive hand movement due to extended computer use

V. Responsibilities - The duties and responsibilities of the check-out secretary include, but are not limited to:

A. Check-out patients after office visits

1. Provide paperwork for lab & radiology orders/instructions for testing a. Fax Radiology orders to TRHMC Radiology Department, with I STAT Creatinine (if needed) written on order

2. Answer all questions received from patients on upcoming procedures/visits

3. Document all appointments scheduled in patients electronic (chart attachment) or in paper chart

4. Request precertification as needed for studies that are ordered

5. Send anti-coagulation letters to mailbox bloodthinner OV

B. Keeping brochures /instructions/prescriptions stocked for future use

C. Complete paperwork for procedures and forward to the appropriate location

D. Take phone calls from lab/radiology departments questioning ICD9 codes and further information on orders.

E. Closer to lock front door at 5:00 PM. Turn off TV & radio and take paperwork and charts to Medical Records Department.

F. Other duties as assigned
