The Facility Services Manager is responsible for overall building management, maintenance and operational functionality for Helena's Corporate Headquarters in Collierville, TN and for the Helena Products Group (HPG) facility located at the Agricenter International in Memphis, TN. This includes maintaining the building integrity, aesthetics, signage, maintenance, housekeeping, groundskeeping, code inspections, renovations, space planning and security and safety as it relates to fire and tornado evacuation plans. This position also oversees and maintains the company's Business Continuity and Crisis Management plans for Helena and its subsidiaries. The Facility Services Manager also directs the mailroom and its third-party employees.

 

The employee's primary duty must be the performance of office or non-manual work directly related to the management or general business operations of Helena or Helena's customers. This also includes the exercise of discretion and independent judgement with respect to matters of significance.

 

What your day may look like

  • Coordinates training of the Business Continuity plan for users, planners and approvers with appropriate departments and locations.
  • Maintains and amends Business Continuity plans for Helena and its subsidiaries as needed.
  • Develops and maintains a Crisis Management plan for applicable areas of operation.
  • Manages and selects the security access control systems (interior and exterior video security and card reader access control) and manages the relationship with the security vendor.
  • Makes recommendations for technology improvements as needed for security controls by negotiating bids, getting approvals and managing implementation.
  • Prepares and creates five-year space programs for the corporate office and makes recommendations for growth, reconfigurations and refurbishments.
  • Negotiates and manages construction projects and reconfigurations as a result of space planning. Provides progress reports to executive leadership and approves billing of these projects.
  • Negotiates project bids and works independently with contractors and all project vendors to monitor service standards.
  • Manages and negotiates all furniture requests and purchases for the buildings.
  • Manages landlord relationship with regards to daily facility operations including housekeeping, grounds keeping, maintenance, repairs, annual building inspections with emergency services and communicates issues to leadership and employees.
  • Prepares, maintains and communicates safety procedures for fire alarms and tornado warnings including evacuation routes to employees.
  • Manages vendor relationships for courier and package carrier services, coffee service, first aid and vending for the buildings including ordering and billing.
  • Manages the off-site records retention program at the Corporate Headquarters with Vital Records Control.
  • Manages the mailroom and copy center and the vendor relationship with RICOH. This includes communicating the company's mail and copy needs to RICOH representatives, managing concerns between Helena employees and mailroom staff, and coordinating RICOH's technology and access needs with Helena's IT department.
  • Other work-related duties as assigned by leader.
  • Reliable and regular attendance is expected.

 

Education and experience needed for this position

  • Associate's degree is required, bachelor's degree is preferred.
  • Three years of corporate office operations experience is required.
  • Experience in vendor management is highly preferred.
  • Experience with Crisis Management and Business Continuity plans is preferred.
  • Combination of education and experience will be considered.

Your work environment and the physical aspects of the job

The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 10 pounds.
