I saw one of my favorite (okay, my favorite) country singers — Toby Keith — rock the house in Hershey, PA this summer. He sang one of his crowd-pleasing hits, “I Wanna Talk About Me”:

I wanna talk about me”

That’s the song that most people seem to be listening to when they write their cover letters. I discussed the importance of getting in the hiring manager’s head in a previous blog post, but I still see cover letters that are completely focused on the writer and not the reader.

Busy hiring managers scouring an inbox full of resumes don’t care about “I did this” or “I’m so great because…” — they want to know how the job applicant will help them solve some sort of problem. Maybe that’s expanding a territory, or creating a smooth-running office, or making sure their students reach their potential — your letter should address whatever the goal is for the position.

The best way to do this is to step out of your shoes and put on the hiring manager’s shoes. Think about what the manager wants in a new-hire, how you will be able to deliver, and the ways in which you will help the organization achieve its goals. If you wear the manager’s shoes even briefly, you can begin to see the problem through their eyes and craft a letter that’s focused on the employer, and not you.

There has been a ton of discussion lately about stay-at-home moms sacrificing their financial health for the sake of raising their children. Whether you agree or disagree with this statement, there are a lot of moms returning to the workforce to make an extra buck and keep their foot in the corporate world.

However, it doesn’t have to be an all or nothing approach. What are some ways to successfully get you back into the working world? Take a look:

Work Part-Time

This can be one of the most appealing work alternatives for moms. You don’t have to give up all your freedom and time with your kids while earning a paycheck. That’s the misconception that many have while contemplating their next move. Not only does part-time work allow you to get your feet wet once again without diving in head first, you can pick up some new skills and start putting away some money while you’re at it.

Work-At-Home (for someone else) & Freelance

There are many ways this can happen. You can become skilled in a trade that hires home-workers such as medical transcriptionists. There are different courses out there to help you get started with such a thing. You can also become a virtual assistant or a freelancer for a business owner. The type of work would vary greatly depending on your strengths and the business owner’s needs.

Work-At-Home (for yourself)

Starting a business can be extremely scary and overwhelming but the Internet makes it easier than ever. Now don’t get me wrong: you still have to have strong business acumen and be willing to work very hard and constantly keep abreast of new marketing techniques, but you don’t need a lot of upfront capital. Domain names are cheap and there’s help out there to get started.

But do NOT get caught up in the easy-money scam. These scams prey on amateurs who might not know that it really is too good to be true. Those of us who have online businesses know that it takes time and a lot of hard work to become successful.

Volunteer

Now if you’re a mom who doesn’t care about earning an extra paycheck right now, then volunteering might be the route for you. It allows you to choose something you enjoy and believe in while honing some important business skills. Yes, volunteer work can easily be transformed into valuable assets that will work for you when and if it comes time to go back to work. It’s usually viewed upon very highly with employers.

Whatever you decide to do, make sure it’s your decision. Some people believe that all women should work outside the home. If not, you risk financial ruin. That is a very dire picture to paint especially where there are other ways you can gain financial security. Do what’s right for you and your family. If the time is right and you feel you are willing and able to jump back into working, then go for it…and don’t let anything hold you back.

Most entrepreneurs will tell you that the #1 rule for succeeding in business is, "Find a need and fill it."

But you don't have to be an entrepreneur to benefit from this advice.

The "Find a need and fill it" approach will help you write better resumes and cover letters, and it will help you ace your next job interview, too.

This method has two steps. Here they are ...

1) Research and find employer's needs.

First, create a shortlist of companies you want to work for. This is where many job seekers blow it. On the first day of their unemployment, most people open the classified ads or visit their favorite employment Web site and start looking for jobs. Wrong. It's better to look for companies first, and jobs second.

Think about it. If you catch on with the right employer, even if it's in the wrong job, you can find room to move up or sideways into a position that's best for you. You and they will be motivated to find the right fit.

By contrast, if you take what looks like a good job at a company with dysfunctional co-workers, customers or both, you'll likely quit in short order. And you'll be back where you started.

So, start your search by making a list of 10-25 ideal employers and then look for positions within that relatively small universe.

Once you have this list of target companies, research to uncover needs you can fill. What are their biggest problems? Opportunities? Dangers?

Find this information by tapping your network of personal and professional contacts. A good tool for this is Linkedin.com. You can also try Myspace.com and Zoominfo.com. Each of these Web sites is free.

Google Alerts are good, too. Use this free service to be notified by email any time your target company is in the news (Google.com/alerts).


2) Explain how you can deliver, based on your skills and value.

After you find what employers want, tell them how you'll deliver. This requires you to "know thyself." Specifically, what are your three most valuable skills? Example skills: marketing, customer service and writing.

Then, quantify the value of your skills: How much money have you made or saved for employers? Think long and hard on this one.

Let's say one of your skills is customer service. To quantify its value, think back on your work history until you find a success story. Example: You solved a problem and kept an irate customer from going to a competitor in 2006. That customer brought in $245,000 in annual revenue. By retaining that account, you saved $245,000 for your employer -- this is the value of
your customer service skills.

The total value of your skills may be higher or lower, but you'll never know until you add up all the numbers. Think and ye shall find.

OK. You know your skills and have found at least one success story with dollars attached.

Now, you need to match your skills to employers' needs. Example: Let's say your research shows that your target employer, Acme Widgets, wants to open new markets and increase revenue.

How will you tell the folks at Acme how your skills match their needs? Usually, you'll get two chances: in the cover letter and the job interview.

Let's start with your cover letter. You will get an employer's attention -- and more interviews - when you prove that you know their needs and how to fill them.

Example cover letter language: "From what I've read in Minnesota Business Monthly and the interviews I've done with your employees, I understand that Acme Widgets is expanding to Italy. My knowledge of Italian, coupled with my five years of experience producing up to $710,250 in new revenue for widgets such as yours, can help me make an impact for you."

In the interview, you should flat out ask, "Why are you bringing on a new person? What's the one thing you want this new employee to do more than anything else?"

If the hiring manager gives you an answer, reply with a match to your skills and value. Example: They want someone to retain key accounts. You reply that you've saved up to $245,000 by doing that very thing last year.

If the hiring manager can't say exactly what they want the new employee to do most, great! Simply walk them through a series of questions to uncover their needs. Is it cost savings? Higher revenue? Fewer mistakes in filling orders? What exactly?

When you agree on their main need, match it with one of your skills and success stories. At this point, you will be leading that hiring manager by the nose ... directly to a job offer.

Of course, all of this requires a little work on your part.

You must uncover specific needs at your target employer. You must know your three most-valuable skills. You must assign a specific value to each skill, based on success stories. Finally, you must think on your feet so you can match your skills to employers' needs in an interview.

It boils down to this. You can either invest a few hours of work this week to discover the needs of employers and communicate how you can fill them, or you can face a frustrating, financially crippling job search that lasts for months.

Format and Content Recommendations:

1. Change your resume from a functional style to a combination style. Combination resumes list employment history in reverse chronological order, and lead with a qualifications summary highlighting your strongest skills. Combination resumes work well for the majority of job seekers. Functional resumes (also called “skills resumes”) are the least-preferred format, and are often used by people trying to hide something (such as employment gaps or job-hopping). You could be sending red flags before your resume is even read (if it gets that far).

2. Add a headline. This replaces the objective in your current resume, and goes directly below your name and contact information. Although objectives can be useful for recent graduates or career changers, professionals on an established career path are better served by using a headline, tagline, and qualifications summary. The headline gives you a way to quickly communicate your career goal and qualifications. Try something like, “Experienced Administrative Support Professional.”

3. Add a tagline directly below your title. You can use this to sum up your breadth of experience.

Here’s how your headline and tagline might look:

EXPERIENCED ADMINISTRATIVE SUPPORT PROFESSIONAL

Offering expertise in MS Office and versatile skills that include executive support, bookkeeping, accounting, purchasing, and customer relations

4. Add a qualifications summary. This section goes below the headline and tagline, and can be written as a few bulleted statements or as a brief paragraph. Summarize the key strengths and value you bring to the table.

5. Add a key skills section. Most commonly written as a bulleted list in a two- or three-column format, this section helps maximize keyword density in your resume. Here are a few examples of keywords that you might want to include in your skills section:

  • Front Desk/Office Management
  • Bookkeeping & Accounting
  • Spreadsheet Creation
  • Database Administration
  • Executive Calendaring
  • Meeting & Event Planning
  • Records Management
  • Data Entry (75+ WPM)
  • Purchasing/Inventory Management
  • Reports/Presentations/Proposals

6. Create a professional experience section.

This is the “meat and potatoes” of your resume, and it should include your employer names and locations, your job titles, and employment dates, followed by a brief description of your responsibilities. Create a bulleted list of “Key Accomplishments” for your most recent jobs (going back ten years or so). You can briefly summarize your earlier experience in an “Early Career” section to save space.

Use some of the content from your current “Job Skills” section to describe your daily responsibilities. For your “Key Accomplishments,” incorporate content from your “Special Achievements” section, and then expand this so that you have several “Key Accomplishments” bullets for each job.

Your accomplishments should include examples of results, outcomes, and benefits you have delivered. Try to quantify your accomplishments with numbers, percentages, dollar amounts, or before/after comparisons to add credibility to your claims. You did this in the fist “special achievement” that you list on your current resume.

To avoid the appearance of job-hopping, group your temporary assignments together.

7. Omit references to time periods when you were seeking work. You are drawing unnecessary attention to the employment gaps. Downplay gaps in your work history by listing your years of employment (vs. listing months and years).

8. Keep your “Technical Skills” section, but move it below education.

9. Include the year you earned your AAS degree.

Design Recommendations:

1. Your resume would benefit from a redesign to give it a more polished, professional appearance. Peruse resume samples online or books to get some ideas.

2. Add space between each of the jobs you have held. This makes your document more reader-friendly by avoiding a “cluttered” look.

3. Be consistent with font usage. Your resume is mostly Times New Roman font, but you have a line of Arial in the address section.

Language Mechanics Recommendations:

1. Proofread your resume. You have some capitalization, punctuation (e.g., misplaced commas), and grammatical errors in your document, and your resume should be 100% error-free. For example, job titles should not be capitalized unless they are part of a standalone heading.

2. Correct inconsistencies. For example, sometimes you write out the word “manager,” and other times you abbreviate it (”Mgr”). In your Technical Skills section, you write “MS Word” and “MS Works,” “Microsoft E-mail,” and “Excel.” All of these are Microsoft applications, so you need to be consistent in how you are referencing this (either “MS” or “Microsoft” throughout). Administrative support professionals are valued for their attention to detail, so your efforts will pay off and be noticed by hiring managers.

Job seekers are often confused about different resume file types, so here’s an overview of four common file types and when to use them:

MS Word (.doc) file
Many employers like to see the MS Word file, and this is the version you should attach when emailing your resume (unless instructed otherwise).

Adobe PDF (.pdf) file
Sometimes employers aren’t using standard word processing programs and would like to see the resume layout as it was intended. Send the PDF if the recipient had problems downloading your Word file or viewing it properly. You may also use the PDF format as a download option on your career folio website.

ASCII (.txt) for emailing file (see Why You Need Two ASCII Resumes)
This version is suitable for emailing your resume to hiring managers. The best way to send an ASCII for emailing file is to copy and paste the cover letter and resume in the email message box, and then attach the MS Word file. If there’s any problem with downloading the Word file, the recipient will still be able to review your plain-text resume and cover letter. Important: Remember to customize the cover letter and resume to suit the opportunity!

ASCII (.txt) for webforms file
This version is suitable for submitting your resume to online webforms. When you’re submitting your resume to online forms on job boards and employer/recruiter websites, copy and paste your resume from this file. The difference between this format and the email version is that the webform version does not have forced line breaks — this enables your text to naturally wrap around the webform box and minimize a “jagged” effect.

Today I received a resume and cover letter to review, and when I opened the cover letter, I was struck with a case of déjà vu. Oh wait, I wasn’t going crazy (too late for that - lol), I did just read those same words — in the resume. The job seeker had copied and pasted big sections of text from his resume to his cover letter.

I can see how easily that could happen. Both documents market your strongest credentials, so why not take that perfectly written resume content and transfer to your cover letter?

Two reasons why it’s not a good idea:

1. You don’t want employers to experience the same déjà vu that I did, only for them to realize your documents aren’t original.

2. A resume serves a different purpose than a cover letter. A resume is more formal in tone, but a cover letter gives you a chance to reveal your personality (or a toned down version suitable for professional life).

You can expand on important accomplishments in your cover letter and hit on the ways you would add value to the employer’s team, but vary your word choice so both documents are creative and fresh.

I’ve mentioned before that some resume writers know me as The Slasher due to my superhuman ability to slash resumes down to size. How do I do it? Recently a colleague sent me a resume she wanted slashed, and I took note of my actions. Here’s a recap of how I turned a 2.25-page resume into a solid two-pager. I hope it helps if you need to shorten your resume:

1. Increased the font size: This might seem anti-slasherlike, but the writer had made the font so tiny that my eyes glazed over when I first opened the document. The key to a great resume layout is readability, so I immediately changed Garamond 10 point to Garamond 11.5. MS Word tip: You can use the “Find and Replace” feature to find one font size and replace with another instead of manually changing it section by section. 2. Adjusted page margins: The top and bottom margins were set at 1″ and the left and right were 1.25″ (I think this is MS Word’s default setting). I like nice, wide margins and many hiring managers like them, too — it’s good to have margin space to jot notes on hard copies. But the default was unnecessarily wide, so I changed to .8″ all around. (BTW, the margin adjustment added a lot of space, and there’s nothing like the thrill of watching the resume get shorter during a slash job. Yes, the life of a resume writer can be very sad indeed!)

3. Cleaned up orphans and widows: The font size increase created orphans and widows throughout the document, so I made minor text edits to clean up the typography. Widows are those pesky single words taking up a whole line at the end of a paragraph, and orphans are the first lines of paragraphs at the bottom of pages that get separated from the rest of the paragraph on the following pages.

4. Consolidated early work history: The experience section went back to the 1980s and there was too much detail about old, irrelevant jobs. I created an “Early Career” section that had two sentences referring to several of these jobs, which freed up enough space to make the resume a two-pager. Another Slasher success!

I haven’t applied for a position since the early 1990s, so the email is either spam or we’re looking at some pretty slow follow up. Okay, it is obviously spam. However, if I were in an active job search, an email that appeared to come from a hiring manager would surely catch my attention.

Ms. McMillan’s email was deceptive because she was alluding to a resume that I submitted; an unsuspecting job seeker might think it was actual resume follow-up. Job seekers are bombarded with spam all the time - career firms offering a “free resume review” (of course they will find problems and offer to fix for a fee), multi-level marketing plans, get-rich-quick schemes, fraudulent emails pretending to originate from reputable sites, and scammers advertising job opportunities but who are trying to get money or steal the job seeker’s identity.

What can you do to protect yourself and avoid wasting time with spam, while still being open to real job opportunities and services that can help your job search? A good starting point is Monster’s primer on preventing email fraud: Tips for a Safer Job Search.

I recommend setting up a disposable email address specifically for job search activity so you can easily say goodbye to the spam when you land a new position. When reviewing emails, always use common sense and don’t be afraid to investigate companies that raise red flags — if it sounds too good to be true, it probably is.

We received an inquiry from a desperate job seeker who didn’t know why her resume wasn’t working. I reviewed her resume and it looked quite good, so I asked her to forward a copy of her cover letter. She forwarded it to me from her Sent folder, so I saw how she was sending it to employers. The first line said, “In the interest of applying for your position, I am sending my resume for your review.”

Yes, she was sending her cover letter without customizing the “placeholders.” What would the hiring manager’s first impression be? Most likely, that she doesn’t care enough about the opportunity to tailor her cover letter and she’s probably sending the same letter all over town.

Employers like to feel special. Give them the royal treatment in your cover letter. You can take less than 15 minutes to customize your letter, address the employer’s specific needs, and present a value proposition that will make the hiring manager want to call you right away. At the very least, if you’re using a cover letter template, remember to fill in the placeholders with the correct information.

Country singer George Strait’s song, “Write This Down” asks his lover to write down that he loves her because he “forgot” to tell her while they were together. Too late, because she’s leaving. It’s a shame he couldn’t use Jott.com, a new service (currently available in the U.S. and Canada) that allows you to call a toll-free number and have your voice message transcribed and emailed/text-messaged to yourself or the person or group of your choice.

Jott.com has great potential to help job seekers. For example, have you ever sat down to write an interview thank-you note, but realized you forgot important information from the meeting? With a free account from Jott.com, you could call Jott.com from your cell phone immediately after a job interview and narrate important points, and the email will be waiting for you when you return home. The service transcribes your voice message, so it’s also a productivity booster. You have to speak clearly (as is the case for any voice recognition program) and the message might not be perfect. I sent myself a message to remember the song “Write This Down” for this blog post, and received an email that said, “Likes this sound.” I have to remember to take the marbles out of my mouth, because other Jotts I’ve tested have been close to perfect.

Kim’s Answer: Sorry to hear that you’ve been receiving conflicting advice. There are no set “rules” of resume writing, so even the experts agree to disagree. You need to take in all of the available information and make decisions that work for you. If you find that you’re not getting any responses with one strategy, revisit your resume and try something else.

We’ve found that resumes that use a qualifications summary can be quite effective, and you can omit the formal objective section by weaving your career goal into a hard-hitting summary statement.

Cover letters can be a great way to get employers to notice you. Of course you always want to send one but what are some ways that your cover letter can actually hurt your chances of getting interviews?

1) You use ‘Dear Sir or Madame’ as your salutation.

It can be a lot of work to find out the name of the hiring manager or the person that your resume is being sent to. However, if you do, it will put you in the good graces of the hiring manager…at least to start off with.

2) The reader is left with the question of what job you are actually applying for in their organization.

You need to state the title of the job somewhere on your cover letter. It can be as a title or in the first paragraph. Hiring managers don’t want to guess which job you want. If they do, then you’ll likely get passed up for interviews.

This is another way you can personalize your cover letter. If you use the exact title for which they are hiring, then they’ll know that you took the time to tailor it just for them.

3) Your cover letter addresses none of the job requirements.

One way to really impress an employer is by their specific needs they listed in the job posting. This is where you can completely personalize your cover letter. Check out your achievements from your resume and see what is applicable to their needs. Pull a few and reword them a bit to add them as a bullet list on your cover letter.

4) You end it with a passive call to action.

You want to make the Hiring Manager do the least amount of work as possible in order for you to get an interview. One of the ways you can ease their burden is by calling them to follow-up. State that you will call them in a certain amount of time – say one week or on a specific date – and be sure to do it.

Don’t worry about coming across as to aggressive. It’s acting proactively which employers think highly of and you can expect them to take note. Of course they may call you even before you get a chance to give them a ring, but that’s a good thing.

5) No contact information.

I know you’re saying ‘Give me a break!’ It seems like that’s common sense, right? Not necessarily. Sometimes when job seekers create their own resume package, they only put their contact info on their resume, not their cover letter. But what happens if the two get separated and your resume accidentally gets tossed? Your desire to get an interview just got tossed along with it.

Paying attention to detail will go far when you’re job hunting. Don’t be in such a rush that you forgo some of these pointers. Take your time to do it right and you’ll find yourself getting many more employers wanting to meet you.

Kim’s Answer: Check with the recruiter to clarify what he or she means by a CV. Many people use the terms “CV” and “resume” interchangeably, so the recruiter might want to see your traditional resume.

In the US, a Curriculum Vitae (”course of one’s life”) is primarily used by people in medical, academic, and scientific professions. If the recruiter is submitting your resume to an academic, medical, or scientific institution, then you most likely will need a CV. A CV can be multiple pages (especially if you have many years of experience), and you should list all credentials, but not necessarily boast (as in a resume) about your achievements.

Typical headings of a CV include education, internships, professional experience, awards and honors, publications (books, articles, reports, journals), speaking engagements, conferences, and professional affiliations.

Did you take a sabbatical and are now wondering how to include the time off on your resume? I interviewed career expert Ford R. Myers for an upcoming article on this topic, and he provided excellent advice. According to Ford, “Handle the sabbatical very carefully, with forethought and planning. Tie the experience in to your long-term career path, and find a way to express to the employer that even though this was not paid experience, it was still professionally motivated and enriching.” Thank you, Ford!

How do you handle the cover letter salutation when the hiring manager’s first name doesn’t indicate a clear gender? The best bet is to find out for sure, like by contacting the employer (ask a receptionist - you can be anonymous!) or doing a Google search. I don’t ask for much, really I don’t. But one thing I ask is this:

Please update your resume!

How long has it been? Six months? A year?

If you don’t know the answer or you’re mentally traveling back to a long-forgotten, distant past, then it’s time to update your resume. I can’t tell you how many clients contact us in a panicked state and request a resume update ASAP (i.e., yesterday) because a great opportunity came along and their resumes haven’t been updated since the Reagan Administration.

Resume emergencies can be avoided if you keep your resume up-to-date and add new accomplishments as they happen. I recommend thoroughly reviewing and updating your resume quarterly, and the change of seasons is a good reminder to tackle this arduous task. If that seems too much, at least update your resume right after you change your smoke detector batteries twice a year for Daylight Saving Time.

One of the most frequent questions I hear from potential clients is "Can you make my resume look really different from all the others?" Generally the question isn't related to resume content, but to layout and typography.

It's an understandable question - it's certainly tough to get noticed when there are so many resumes for every position - but unfortunately, the answer is no.

In the old days, before email, resume writers had a lot more flexibility for creative design. The resume would be printed out and mailed, so there was no concern about formatting for email. But now, your resume must travel between computers and operating systems and it must retain its formatting even when the recipient has a different version of MS Word to the one you're using.

(And yes, you MUST create your resume in Word. It is the standard word processing program and resumes created in programs like Photoshop or Illustrator will be useless to most HR people and recruiters.)

Therefore, you have to keep your resume as simple as possible. Use only standard system fonts (you can see safe fonts highlighted in blue on this list). If you use other fonts, you run the risk that the recipient will not have that font installed on their system - when that happens, their computer will replace your pretty font with Courier New, and all your careful formatting will be thrown out.

You must also avoid any of the Microsoft Word drawing objects, such as text boxes or lines. This is because they may not show up depending on the settings on the recipient's computer.

You CAN use color to liven up your resume, but be aware that the document will probably be printed and photocopied, so make sure you use colors that will still work when printed/copied in black and white.

I do think resume design is very important - your resume must be well laid out, consistent, easy to read and contain lots of white space - but sadly in this age of email, excess creativity will hurt your job search rather than help.

The best way to differentiate yourself is through strong content that clearly shows your value to potential employers. If you do that, you won't need to worry about unusual typography and clever layouts.

1. Does the service clearly define the target population?

Who exactly will receive my resume. Are they simply gatekeepers or actual hiring decision makers?

2. Does the service make it easy to know what kind of clients would most benefit from it?

Does this service specialize in an aspect of the job search process or purport to be all things to all career seekers?

3. Does it mention any guarantees relative to the quality of the data?

Are the fees I'm considering paying seem reasonable for the value of the data and information available to me. Will I actually get in touch with people or find it difficult to make a real human contact?

4. Does the service clarify detailed recipient information before the transaction is concluded?

How much of the "carrot" can I munch on before I swallow the deal whole? If I don't feel confident that I have enough to go on to make a purchase, I shouldn't do it.

5. What is the length of contract and how long do users have access to the data?

Am I clear if there are annual or monthly fees? Do they keep my credit information on file? Is the length of service clearly described?

6. What kind of “guarantees” come with the service that are in writing?

If there are no guarantees, there should be no transaction. Nuff said.

7. How easily can a user receive a refund?

Will I get actual dollars back or will they offer me a continuation or "do-over" of the service. Terms and conditions should spell out exactly how refunds are obtained.

8. What kind of contact information is provided?

If you don't know or don't feel confident in the kind of demographics given to you from the service, ask how to obtain what you think you'll need. If it's not available, consider that fact in your final purchase decision.

9. Are you paying for “convenience” or real research data?

There are great services that charge fees for different philosophies of job search methods. Most effective services will strategically network you with decision makers. It will be up to you how you utilize the information they give you.

10. If I have a problem after purchasing, what kind of customer service can I expect?

First of all, if you didn't receive customer service BEFORE the purchase, be cautious in getting it AFTER! The more reputable companies will brag about their customer service and you'll see it evident in their marketing and publication literature. Don't settle for less, after all, you're paying them.

In conclusion, conveniences don't equate to results unless the client is given real feedback. Be honest with your mentality relating to your search philosophy. Are you paying someone to do your search for you or for taking the administrative and non-productive aspects of your search away so you can focus on interviewing and NOT researching. Be confident in asking these questions the next time you are contacted by a company to pay them a fee for distributing your resume.

John Sumser at Electronic Recruiting News has an interesting post about truthfulness on resumes. In a sense, he really "gets it" - resumes are marketing documents designed to instigate a conversation. And his examples of "spinning" some elements of his background make perfect sense. In a way, it would be less than honest for him to use the job title "Xerox Boy"!

But there's a big difference between marketing and out-and-out lying - claiming credentials, experience, degrees, and so forth that you don't have.

Recently I was interviewed by Susan Geary for her entry in the Public Radio Talent Quest - I could be biased, but I think she did a great job and her proposed show, "Career Matters," has enormous potential! In the broadcast I made the point that if you've lied on your resume, it can come back to haunt you, so why not fix the mistake, rewrite your resume focusing on your (truthful) accomplishments, and go out and find a new job that is not predicated on a lie. So you've spent hours working on your resume? You're exhausted, frustrated, overwhelmed, and have no clue if your resume is good or not? I hear these words often (along with many more colorful ones) to describe the resume writing process. And the funny thing is, once you have your resume out there, and don't hear back from the hiring manager, recruiter, or somebody besides your mom, you may think your resume sucks (another frequently cited resume descriptor) or something. Maybe it does; maybe it doesn't.

Some people will love your resume and some people will hate it! What really matters is that your resume, however great or humble, gets noticed by at least one person in the universe who loves it, who also loves your interview, and who ultimately loves you enough to propose...will you marry us? Music (or should I say money?) to the job hunters' ears.

I like what Richard Nelson Bolles (What Color Is Your Parachute 2007 - Page 65) says about resumes:

"Trouble is, you don't know which employer likes what. That's why many job-hunters, if they use resumes, pray as they mail their resume: Please, dear God, let them be employers who like resumes in general, and may the form of my resume appeal to those employers I care the most about, in particular."

I get asked to endorse products and books and services all the time. I almost never agree, but recently I came across a service that I DO really like.

One of the hardest things for job seekers is to get their resume into the hands of hiring managers and recruiters. There are many companies out there who promise to zap your resume to thousands of decision-makers - they make it seem so easy. The problem with most of these services is that they are sending your resume to people who didn't ask for it in the first place, and who don't have time to look at it. In addition, it's usually a one-time deal and you have no opportunity to follow up with hiring managers.

That's why I like Resume Spider so much.

First, they only send resumes to people who have signed up to receive them. This is HUGE because it means you're never spamming anyone. Second, the companies who are asking for resumes are big names - companies who do a lot of hiring. Actually, it can be easy to do, according to Adam Waxler, the president of www.TeacherInterviewTips.com.

"By writing and submitting industry-related articles to a few key Web sites, you can get your name all over the first pages of Google search results. When employers search for you, they will find content written by you that's related to your profession, which will definitely impress them," says Waxler.

Best of all, this won't cost you a penny.

Now, don't worry about the writing part. If you've ever written a book report or a coherent email, you can write an article that positions you as knowledgeable in your field -- and makes you more attractive to employers.

You can do it by following these five steps ...

  1. Go back through your past jobs or college days and dig up any reports, memos and papers you wrote over the years. "Basically, you're looking for anything you have written that's related to your field," says Waxler.
  2. If you've already written 450-550 words on a work-related topic, great! That's enough for an article. If not, combine or break apart your writings until you get roughly 500 words. Then, edit and clean up the language so that it reads well.
  3. Still can't find anything relevant you've written? No problem. You can write something now.

    Visit Google, Wikipedia, industry Web sites, online magazines, etc., until you've gathered enough raw data for an article. Write fast and don't censor yourself. Put your draft article away for at least 24 hours. Then come back and revise slowly. For extra editing, show it to two or three friends for input.

  4. Write a short bio, also called a resource box, to insert at the end of your article. "Obviously, you want to write this with an eye toward the job you're seeking," says Waxler.

    Example bio: "John Smith is a first grade teacher at Jefferson Elementary School in Chicago, IL. He has a BA in History from Ohio State University and a passion for helping students reach their full potential."

    Note: If your name happens to be Stephen King, Edith Wharton, or something else that's already "taken" on Google, be sure to use your middle name or initial to create a unique moniker for the search engines.

  5. Now, the fun part. Get published by uploading your article(s) to free online article directories that share your work with multiple Web sites -- this is how Google finds you.

Waxler recommends you submit to three directories: EzineArticles.com, GoArticles.com and SearchWarp.com. "You can send the same article to all three, but definitely be sure to use EzineArticles.com -- it's well-liked by Google and will get you found the fastest," says Waxler.

Bonus: While you're waiting for Web sites to find your articles, why not set up a free blog and self-publish immediately? Blogger.com is an especially useful blogging tool, because it's owned by Google, which means your writing -- and your name -- are likely to be found by employers faster.

If you've never been published before, you'll get a kick out of seeing your name in print. And your job search will get a kick, too, when employers find your name in Google -- for all the right reasons.

There isn’t one! Rather it’s a combination of your efforts that will most likely garner the best results. No one ever said looking for a new job is easy, right? It’s the truth and you’re about to find out why.

1) Posting you resume
Why do it? It’s fast, easy and most of the time – free. You usually get the option of a confidential or public posting as well (in case you’re worried about your current employer finding out you’re job hunting). You never know when an employer will be searching for someone with your qualifications, and if your resume happens to be in the job bank they’re looking through, then you’re in luck.

Is it worth it? Sure. However, I caution getting your hopes too high. You can become a passive job seeker very quickly using these means. It gives you a sense of accomplishment and then you go and do nothing else. If you really want a new job, you will most likely need to do more than this. When you have a few minutes, go and post on a few boards. But then move on to more aggressive tactics.


2) Distributing your resume via ‘resume blasting’
Why do it? These services can save you a ton of time and gain you a lot of exposure. There are a ton of resume distribution companies out there so you have to be sure to pick the right one for your needs. You can get extremely targeted campaigns that specify location, type of company, etc.

Is it worth it? Again, as long as this is not the only means of distributing your resume, then yes. This is a great addition to your arsenal but by no means should be all that you do. If you’re strapped for money, then you might want to consider skipping this part.

3) Networking
It’s funny how many times networking comes into play during a job search. You really have to look for those golden opportunities that allow you to hand your resume to someone who can then make a decision or pass it on to someone else who can make a decision about interviewing you. The more you network and let people aware of your situation, the more likelihood that you’ll hear, “Hey, I know someone who is hiring for a position like that. Want me to give them your resume?”

Now keep in mind that the three techniques are in addition to posting for jobs on and offline. That should be a staple in your job search diet.

You’ve got your resume ready to go so be sure you don’t sit back and do nothing. Interviews will not come to you. If you see a job you want, go out and do everything you can do get it.

I was working with a resume client this week who made a mistake many people make ... misunderstanding what is meant by the common advice "don't be negative about former employers."

This person had consistently inherited disorganized departments and quickly whipped them into shape. She could quantify her successes in each position, which made the stories all the more powerful.

When I wrote her resume, I emphasized the initial situation for each position, writing descriptions such as 'inherited disorganized department that lacked formal procedures." I then went on to show how my client had addressed these problems and what results she achieved.

But when she read the new resume, she felt that my descriptions broke the golden rule concerning the need to be positive about former employers. Her reaction is not uncommon, so I hope I can open a few eyes with this post.

My original description - "inherited disorganized department that lacked formal procedures" - is simply an honest recitation of the situation when she was hired. But if my client had said "took over from disorganized former manager who hadn't even bothered to implement any procedures," that would have been negative!

"Turned around under-performing department" is simply a statement of fact. "Took over from lazy, no-good, untalented fool and quickly turned around under-performing department" is negative.

See the difference? One sets the stage by explaining the situation without judgment. The other apportions blame (and I know I'm exaggerating, but just to make a point).

If you do this the right way, there is no way for a hiring manager to know why the department was disorganized - often these things happen because a manager's position has been vacant for a while, or because a company has grown rapidly and its systems haven't kept pace - but they do know that you have the ability to make order out of chaos and that's what matters.

Why is this important?

It's important because context is everything when you're writing a resume. If a sales person says that he improved revenues by 10%, a hiring manager has no way to know how impressive that is. (What were sales increases in the preceding years? What is the general industry average? Is 10% good or bad?) But if the sales person provides context, suddenly everything is clear.

Compare the two:

  • Increased sales by 10% within the first year.
  • Reversed 3-year trend of declining sales - achieving a 10% increase in the first year - through new channel strategy. Achieved these results despite general industry slump.

Now the hiring manager can tell what to make of the information ... and unless you add something about your "idiot boss" you're not being negative!

Many clients ask me about writing cover letters. Should they send one to a potential employer along with a resume? Should they have a generic cover letter to send to any employer at any time? What information should be included in a cover letter? So, I thought I would address a few of those issues today.

First of all, as a job seeker you have to think of every contact with a potential employer as an opportunity to sell yourself. So, if you send a generic cover letter that says something like, "I want this job because it is a great opportunity..." you aren't selling yourself and you aren't telling the potential employer something they don't already know. In other words, a generic cover letter is basically a useless document and I never recommend that my clients write one.

So, when is a cover letter necessary? If you are applying for a job through a corporate website and the site has a space for you to include a cover letter you should take advantage of the opportunity and write one. On the other hand, if you are working with a recruiter you generally don't need to write a cover letter unless the employer they are representing requests one. If a friend recommends you for a job with his/her employer it's a good idea to write a cover letter that clearly articulates your reasons for applying - you don't want the potential employer to think you are only interested in the job because your friend works there too.

When writing a cover letter you have the opportunity to do several things with one document. A good cover letter will tell a potential employer the following things about you:


  1. Why do you want to work for this particular company?
  2. What special skills, qualifications, passion do you have to offer the company?
  3. You can showcase your ability to research a company and to clearly articulate your value proposition.
  4. You get to showcase your writing skills

I give my clients the following advice about writing a cover letter:

  1. Research the company, its management team, and its products extensively. Use internet sites like LinkedIn, Google, The Vault, and Zoominfo to find out all about the company and what makes it uniquely interesting to you.
  2. Clearly articulate ways that you, the candidate, could add value to their unique organization. Steer clear of generic statements and focus on specific skills and interests you have that dovetail with their business needs.
  3. To demonstrate how your skills can enhance a potential employer's business, use specific examples drawn from your resume. Don't reiterate what is on your resume verbatim but, instead, expand upon some of your notable accomplishments that are relevant to this particular employer.
  4. If you have a top tier education (Ivy League or top regional school) add a sentence near the beginning of the resume that mentions it.
  5. Keep the cover letter between 1-2 pages in length (600 - 1000 words).
  6. PROOFREAD. The worst thing you can do is send in a cover letter with a spelling or grammatical error because then you have given the employer a perfect excuse to reject you. A cover letter can be your best friend in a job search or, if you leave typos in the document, it can be your worst enemy.

1, Keep It Short

Considering that initially HR personnel only spend approximately 10-20 seconds on a resume, the shorter your resume, the most desirable it is. Aim for one page.

Of course, it is sometimes impossible to create such a short resume. You might have to include a second page because you have way too much information regarding your work experience, accomplishments, etc. In this case, make sure that you list the most relevant information within the upper half of the first page because that is the section that gets looked at first. This way, these important insights will surely be noticed.

2, Spelling, Spelling, Spelling

It is not enough to run the word processor’s spell checker on your document. Proofread your resume at least 3 times, once backward (sometimes that is how you notice mistakes.)

Remember, a sloppy presentation is almost a guarantee that your resume will end up in the circular file even if you have all the qualifications in the world.

3, Start Your Resume With A “Power Statement”

Many resume writers suggest starting a resume with an objective. I object to that (no pun intended). Objectives are useless because they are self-centered.

Here is a typical objective: “Challenging position in social services.”

My suggestion is that you start your resume with a power statement such as: “Experienced Social Worker with 10 years of proven client counseling and support background along with enthusiasm for working with children and their families.”

Whereas the objective tells the employer only what you want to do, the power statement goes further in highlighting not only the job you are seeking but also your major achievements. The power statement showcases what you can do for the company.

4, Use Action Verbs

Begin your sentences with action verbs for added punch and to express a sense of accomplishment.

5, Use Specifics

Use specifics such as numbers, percentages, figures and facts.

Example: “Exceeded sales quotas by 50% for 4 consecutive years.”

Numbers stand out and communicate clearly and openly about not only the results you produced by also about what you can do for the company (can’t repeat that enough.)

6, Answer The “What’s In It For Me?” Question

What every employer wants to know when reading your resume is what’s in it for them.

Employers are looking for people who will solve their problems. You have to present your case accordingly.

How?

By answering these questions and including the answers in your resume:

What kind of problems did you solve on the job?

How did the company benefit from your performance?

How did you do the job differently and better than the person before you did?

Did you introduce a new program or system?

If yes, what were the results of it? (Be specific regarding the results.)

What were you most proud of in your job?

What would your supervisor and your co-workers say they would miss most about you when you leave?

How did you make a difference in your job?

How did you affect the company’s bottom line?

Did you save money for the company? How much?

Did you earn money for the company? How much?

How many times have you written a document or email, sent it out, and then discovered some major typos or even words missing? What if it doesn’t get your point across – or worse yet – give off the exact opposite impression? If you’re like most, it’s happened to you at least once.

1. Give your eyes a break. Do you notice that when you’re finding a task particularly difficult that if you take a break for a few hours – or even overnight – you can tackle it with a freshness and vigor that you had lost? You need to recharge before you require yourself to inspect a document that you’ve been working on for hours. The words all start to run together and nothing even makes sense to you. The passion for which you originally wrote with is lost on you due to mental fatigue. You need to take a step back, refresh your eyes and mind, then go back and take another look.

2. Have a friend (or family member) take a look. Having another person read your resume can be extremely helpful when it comes to having a fresh perspective. You are so close to your resume that you tend to not be very objective when it’s all said and done. It’s beneficial to have someone completely new look over it. Why? What important information can you gleam from this exercise?

• What’s their first impression? Professional? Amateur? Sloppy?
• Do they know what kind of job you are applying for and how you are qualified?
• Are they impressed with your achievements?
• Is there too little information? Too much?

Be sure that the person or people you choose can give you an honest opinion. You don’t want to depend on someone who is afraid to hurt your feelings or thinks that everything you do is great. It is best to choose someone with business acumen as well. It’s not necessary that they be efficient in human resources and the like, but the more they’re involved with the business world, the better.

3. Have a professional review it. There are many resume writing services who offer a free review of your resume. They can provide some great tips that you might never have thought of to improve your overall success at getting interviews. However, you want to choose one that is personalized and not just a checklist. Not that you won’t get anything out of a checklist but you’ll get a lot more out of a more thorough review.

Resume writing is an exhausting task so you need to be sure not to jump the gun and send out your resume package immediately after you complete it. It’ll pay to take one – if not all – the tips above to heart before you apply if you decide to write your own resume.

  • Outline why you are the best candidate for the job.
  • Ask them to let you know when/if they've been contacted.

How HR managers use your network
Human resource managers almost invariably ask for references when seriously considering someone. For liability reasons, if for no other, they will probably call each one. They will look for inconsistencies between information gleaned from your interview and from what your references say. They may ask about the following.

  • Promptness or tardiness
  • Interactions with coworkers
  • Attitude
  • Competency
  • Weaknesses

Thank your references
After your job search is over, contact your references to let them know how their referral paid off. Ask if there is anything you can do in return.

Ever wished you could work from home? Commute to the "office" in your jammies? Make every day Casual Friday?

Well, it's never been easier to do just that. Almost any kind of job, from accountant to writer, can be done from the comfort of your own home.

"About 27.8 million Americans worked from home in 2006, which was a 10% jump over 2005, and that number is going to continue to grow," says Eddy Salomon, who operates WorkAtHomeCareers.com, a clearinghouse of home-based employment opportunities.

What's behind this growth in work-at-home employment? Often, home-based workers are cheaper than traditional ones. "A growing number of companies are hiring people to telecommute from home, as opposed to off-shoring those jobs to another country or hiring people to work in an office," says Cheryl Demas, founder of Wahm.com, a site that caters to work-at-home moms (and dads).

So, what kinds of work-at-home jobs can you expect to find out there?

"I've seen it all, but customer service is hot right now. I think it's a big growth area -- phone banks and order taking. Many of the ads you see on TV are routing their calls to home-based workers. So do pizza places and airline reservation firms, to name a few others," says Demas.

Other work-at-home jobs include data entry, customer service, and writing for Web sites, also known as blogging. For the latter, Salomon recommends Helium.com, AssociatedContent.com and PayPerPost.com as good places to start writing for money. Other sites where home-based workers and connect with employers are Guru.com, Elance.com and Rentacoder.com.

But there's a catch for those who prefer a steady paycheck: The above-mentioned jobs tend to be short-term assignments that don't always pay a lot.

By contrast, a work-at-home career is long-term and requires higher-level skills, like bookkeeping, graphic design, medical transcription, sales, engineering and photography. "I recommend people pursue a home-based career by investing in themselves and upgrading their skills through education," says Salomon.

How do you find and apply for home-based jobs with the best pay, benefits and stability?

Web sites like Wahm.com and WorkAtHomeCareers.com are both worth a look, with postings of home-based job, helpful articles and forums where you can network with others. Other sites to check out include Tjobs.com and MoneyMakingMommy.com.

As with all things Internet, beware of scams. In a nutshell, you should never have to pay anything to take a real work-at-home job. If a company asks for money, they're likely trying to sell you a business opportunity, not offer you a position.

Also, Demas warns to avoid companies that ask you to do any payment transfers, accept packages, run auctions or reship materials. "These are red flags, because there is no legitimate need for those sorts of services," she says. In some cases, shady companies will ask you to deposit cashier's checks on their behalf, only to loot your bank account later.

Here's a quick research tip. Type the name and Web site address of any potential employer into Google, plus the word scam, like this: "Ace Novelty Company scam" or "www.theacenoveltycompany.com scam" (without the quotes).

Also, it's a good idea to visit www.ripoffreport.com and www.bbbonline.org for more due diligence. And try to join at least one Web site forum where you can ask others about work-at-home opportunities you're considering.

Now. As someone who's done it for 10 years, I can tell you that working at home isn't for everyone. You must be able to work independently, without supervision. It can get lonely, too -- you may miss the camaraderie of an office. And your paychecks may come sporadically -- or not at all -- as you navigate from one assignment to the other in search of a long-term home-based career.

Still, for those who can make it work, working from home is the only way to go.
