Everybody says you should send a thank-you letter after an interview. Everybody is right.

People seem to be getting it because according to the Wall St. Journal about 90 percent of applicants send thank yous. Good news.

The bad news: Only half of those personalize their letters.

Ugh. People are sending form thank yous? That's worse than no thank you at all!

While we're at it, here are some other ways people are shooting themselves in the thank-you foot:

  1. Mis-addressing the letter (thanking Wendy's for your interview with Burger King)
  2. Sending a thank you with spelling or grammar mistakes ("I appreciate you're time. . .")
  3. Relying on email (okay to email but follow up with a "real" letter)
  4. Not typing the thank you (you ain't writing Aunt Sadie--this is a business letter)
  5. Procrastinating (send thank yous within 24 hours)
  6. Sounding desperate ("I can't wait to hear from you!")
  7. Sounding fake ("I am writing to thank you for the interview" is stilted--be sincere, be yourself, be enthusiastic)
  8. Sounding canned (obviously, no form letters--use your thank you to repeat the highlights of your interview and to remind the employer of who you are, what your skills are, and why you would be great for this job).

Thank-you letters are as important as resumes or showing up for the interview on time. Don't let yours ruin the good impression you're trying to make.

Now that you know the right format for your resume and you have written out all your achievements and responsibilities, it’s time to really showcase those accomplishments. But what is the best way to do that?

Bullets are your friend

I’m a big advocate of using bullets effectively in a resume. This does not mean that the entire document should use bullets to stress the important facts that you want to highlight. If you use bullets everywhere, then nothing will stand out to the reader. That’s why it’s important to only highlight the information that will be most likely to get you an interview.

A popular way to mix bullets and paragraphs is by writing a brief paragraph about your responsibilities before adding your achievements as bullets below. In most cases, you want to have more bullets for your recent positions. The further back you go, the less important those achievements are to the employer. Sometimes that is unfortunate since those accomplishments might relate more to what you are currently seeking in a position. If that’s the case, highlight the most important ones so that they don’t get lost in a see of bullets.

Numbers can be your best friend

Using qualifying factors in your achievements can truly make the difference of getting the interview or being passed over. Why are they so important? There are a couple of different reasons.

1. Illustrates how big the achievement was in the overall picture and the significant impact it had on the company.
If you simply state that you increased inventory turn and reduced backorders, that doesn’t really say a whole lot. A lot of people could say that and have it be true.

However, see what happens if you state it this way: “Saved $7 million with a 50% increase in inventory turn and a 75% backorder reduction.” That is something that will impress an employer.

2. Shows how well you meet and exceed company and personal goals.

Every company wants an employee who at least meets the objectives set by the company. Whether it be for the company as a whole, your department or your personal objectives, they all are important to an employer.

So as you’re sifting through your accomplishments, don’t forget to include this important aspect. If you are an accountant and had a goal of saving the company $1 million by discovering more tax exemptions, but you actually saved $1.5 million, be sure to say that. By stating the fact that you exceeded your goal by 50% is huge in the eyes of an employer.

Your achievements and how you showcase them are vital in getting interviews. Don’t shortchange yourself or you’ll be pretty shortchanged in the interview area.

Many job seekers skip the next step which can be detrimental to their job search. Next time you’ll discover how important it is to have a second, third (or more!) pair of eyes look over your resume.

I’ve been recommending two-page (or longer) resumes for most experienced professionals since the 1990s. But the old myth that a resume should only be one page is still floating around.

Even though hiring managers may wade through hundreds or thousands of resumes to find qualified applicants, most professionals need at least two pages to adequately present a “value proposition.” A one-page resume doesn’t leave much room to expand on accomplishments, key skills, and other credentials that will help generate interviews. Yes, it’s true that a two-page resume might not get thoroughly read at the first pass, but if it’s well organized and easy to scan, the additional information can tip the odds in favor of securing an interview. Also, the resume may get read more thoroughly at the time of your interview.

Choosing the right format might seem like child’s play to a lot of job seekers. I mean, how many good choices are there really? The answer depends on your own unique situation.

Let’s start with the resume format most loved by human resources: the combination format. It’s basically the format that you see the most and is very effective when it’s used in the right situation.

What is the right situation? Basically if you have the ‘perfect’ job history – no gaps, not a ton of job-hopping – then this will work for you. After your contact information, the executive summary is at the top, followed by some career highlights, then your jobs and positions (along with achievements and responsibilities), followed by awards, professional affiliations and education.

So you’re not perfect…

But what if you have some ‘career baggage’? Maybe you took some time off for family reasons or you’ve been the product of several layoffs. You need to create your resume in the format that doesn’t highlight these so-called black marks. Instead, you want to draw the reader’s attention to all your achievements and proof that you deserve an interview.

Although it is not favored by human resource professionals, the functional format can be used effectively. With this format, you list your strengths and achievements toward the beginning of your resume under subheadings. These subheadings could be Management, Organizational Skills and Leadership. Anything that is essential in your profession and can show why you’re at the top of your game. Your jobs are then listed at the end with your other information. That way the thing that employers see first is not that you haven’t worked in five years or that you’ve had five jobs in the last four years. Make them see the positives first.

Laying it all out

No matter what format you choose, you do not want to go past two pages. I suppose there are always exceptions but even Executives can oftentimes get by with a single page resume. Also keep in mind that if you do go to two pages, make sure that second page is not scarce. You want to fill the page as much as possible. A good rule of thumb is three quarters of the page should be used. You might have to adjust your margins and spacing a bit.

Speaking of spacing, white space overall is important for your resume. You don’t want all the text to be crammed together, making it difficult to read. At the same time, you don’t want it to be too ‘airy’ and have it look like you’re just trying to fill the space. You need a happy medium of both to make an attractive looking resume that employers will want to read.

As a rule, I hate reading cover letters. Nearly all are what I call, 3B:
Bland, Boring and Banal.

In fact, most cover letters are such formulaic exercises in boredom that I suggest you stop sending them altogether.

That's right. Don't send a cover letter. Send a sales letter instead.

After all, your goal in writing to employers is to "sell" them on hiring you, right?

With that in mind, here's a recent success story that will help you stop sending cover letters, and start sending sales letters that get job interviews.

Paul D. from White Bear Lake, MN writes: "I met you at the Star Tribune job expo and I wanted to comment on your tip to write a sales letter rather than a cover letter. I took your advice and, after sending the new cover letter to apply for two jobs online, I had one call the same day for an interview! The other call came the day after."

So, Paul batted 1.000 with the two cover letters he sent out. Better yet, he emailed me his cover letter, which offers three lessons that can get you hired …

1) Get Attention by Asking a Question
You must get employers' attention at the start of your letter and compel them to read. Otherwise, your letter won't have any effect. Because bored readers will skim over the document, then rush off to your résumé.

An easy way to get attention is to ask a question. Why? Questions are hard to ignore -- they engage and involve readers.

This is what I suggested at the job search expo Paul attended. He took my advice and wrote a new cover letter that began like this:

Dear Mr. Peterson:

Are you looking for a professional marketing person who has demonstrated analytical and problem-solving ability, practical project management skills and excellent written and verbal communication skills?

Paul's question gets attention and causes the reader to answer, Yes. And if you can get employers to nod in agreement while reading your "sales letter," you've taken a giant leap toward getting hired.

2) Emphasize Specific Results
Which of the following statements is more interesting?

A) I'm a hard worker, honest and reliable, with excellent attention to detail.

B) I saved my last employer more than $1,000.

It's B, of course. B makes a specific claim, while A is a list of generalities. All things being equal, the candidate who sprinkles results throughout his/her "sales letter" is more likely to get hired. Because, employers think, if you've delivered the goods before, you'll likely do so again.

That's what Paul did in his letter -- he included specific results like these:

My attention to detail saved my company more than one thousand dollars in incorrect registration forms over six months.

Now, that isn't perfect. I would use numerals (not words), put the numbers first, and include a dollar sign, all of which makes the results more obvious. Like this:

I saved more than $1,000 for my company in 6 months, by finding and correcting registration forms.

3) End with a Provocative P.S.
Here's where Paul hit it out of the park.

Remember, you want to send a sales letter, not a cover letter. And what do all sales letters have? A P.S. at the end. (Go read your junk mail right now to verify that I'm right. I'll wait....)

Good sales letters have a P.S. because good copywriters know the P.S.
always gets read. Why? That's not important now.

What is important is for you to include a P.S. in your "sales letter"
that's so intriguing, employers will have no choice but to call you to learn more.

That's what Paul did. Here's the P.S. he wrote, following my advice:

P. S. - Please call me if you would like to learn how I produced over $70,000 in grant money for the Minnesota Trucking Association last year.

This is simple and brilliant. Just as the opening question of Paul's letter forced readers to nod and answer Yes, the P.S. forces them to say, Huh?
Then, pick up the phone and call.

In Paul's case, he got two calls in two days, from two "sales letters." And one new job. Here's the rest of his letter to me:

"I finished the second interview yesterday and was offered the job the same day! Best of all, I was able to negotiate a raise and I am convinced that if I had not rewritten my cover letter it would have never happened. Thank you!"

So, if your job search is sputtering, stop sending cover letters and start sending sales letters. Follow these three tips: open with a question, emphasize specific results, and include a P.S.

If you'd spent as much time as I have sifting through online job ads and dissecting the skills requirements of each, you'd notice a common trend – nearly every job requires that applicants have "good verbal and written communication skills." Sometimes it's just a cliche statement that gets thrown into the job description mix without much thought, but for the most part, employers are serious about this. The worriesome thing for you as the job applicant is, your initial point of contact with the employer – your resume – is written and will no doubt be heavily scrutinized. The person who reads your resume has no reason to give you the benefit of the doubt, because up until this moment, he or she had no previous knowledge of your existence. That's why you must proof, double-proof and triple-proof your resume before you send it off through cyberspace to paint a picture of your professional self to a person you've never met.

The trouble with proofreading is, you have to know what you're looking for in order to catch any mistakes. It's pretty easy to spot that you've misspelled the word "the," but what about whether or not you should capitalize a job title, or whether you should spell out the number, "ten," or use its numerical form? There's a million copy rules you've probably never thought of, but don't worry, hiring managers are not going to expect you to know everything and they probably don't know everything themselves. In fact, I don't think anyone does, that's why writers carry what is commonly referred to as, "The Journalist's Bible." The book's actual title is, The Associated Press Stylebook, and inside is an A-Z list of the Associated Press' rules on grammar, spelling, punctuation, capitalization, abbreviation and word and numeral usage. Get it, use it ... in the meantime, if you have a question, ask the editor.

If you don't heed my advice and run out to the bookstore immediately to buy a copy, at least take a second look at your resume for these common technical blunders:

The name of your alma mater should be spelled out – not abbreviated – like, University of Wisconsin-Milwaukee. The common mistakes with this are: 1. People often abbreviate university names, which you should never do upon first mention. 2. Applicants often use the wrong punctuation or none between "Wisconsin" and "Milwaukee," which probably isn't a huge deal ... but it's still wrong.

The name of your academic degree should be written as, Bachelor of Arts. The common mistakes with this are: 1.People often use the abbreviation, B.A., which should only be used when identifying multiple people's degrees. 2.Often it is written as, "Bachelor's of Arts," but the possessive form of "Bachelor" should only be used when written alone, such as, "She received her Bachelor's from Villanova."

Always spell out the word, "percent." When describing past job duties and experiences on a resume, job applicants often include a quantifiable growth statement like, "I increased sales by 20 percent." Scratch the % symbol from your writing vocabulary.

Spell out the numbers one through nine. Use the numerical form for numbers 10 and higher. Numbers could pop up anywhere in your resume, this rule will always remain the same.

Take the time to get the correct spelling and capitalization of any proper nouns. The most common place I come across these errors is in the "Skills" section of the resume. This is the section in which people often list the different languages they are fluent in and computer programs they are proficient in. Always capitalize the name of a language. For example, "I am a fluent Spanish speaker." Furthermore, computer programs and software names often have quirky spellings, go online and get it right. For example, Photoshop and QuarkXPress are both one word.

These are the most common technical errors I see, but normal grammatical errors run rampant on resumes also. Rather than compile a list of every misspelling and improper syntax possibility in the English language, read The Five Grammatical Errors that Make You Look Dumb, by Brian Clark.

This post about the importance of story-telling in blogging reminded me that I haven't written about this subject for a while.

If I could get all my readers to make just one change to their resume, it would be to add stories. As the post points out, stories allow you to make a connection. Your reader can understand what you're saying, and feel connected to you much more closely when you tell a story than when you just recite facts.

Not sure what I mean? Here's an example.

I received a resume today from a potential client. She's a mid-level marketing manager and she's looking to advance her career to the next level. Her resume included a series of concise bullet points outlining the impact she had made on her company.

Here's one of them:

  • Helped increase sales by 10% through new marketing campaign.
Well that's good, right? Actually I'm not sure. Is a 10% sales increase good in her industry at this time? She hasn't told me. Maybe the whole industry is up 30%! And what was the new marketing campaign? Without knowing more about it, how can the reader know whether such results would be possible at his or her company? For example, if his company is struggling and his marketplace is sluggish, he may read that bullet point and say "well, that's nice, but it's not possible here. Things are too tight."

But what if our candidate told a story instead:

  • Repositioned outdated service provider by adding and promoting 3 market-leading services - drove a 10% increase in sales after 3 years of decreases. (Increase was achieved despite an overall market decline of 5%.)
Well now our manager would be NUTS if he didn't sit up and pay attention!

Context is key when you are convincing someone else that you can help their company. So go through your resume to check whether you have told a story about each of your accomplishments, as opposed to just listing them.

You'll find an amazing difference in your response rate if you make this change.

Figuring out what you’ve actually accomplished in your career is one of the most difficult parts of writing your resume. Many people believe they haven’t done much of anything; just every day tasks that don’t amount to anything.

I am willing to say virtually everyone can think of at least one achievement per position they’ve held. Not you? Don’t be so quick to judge. You just have to know where to look and how to dig deep to find the information.

The right place to look

If you’ve been at a particular position for more than a year, most likely you have had a performance review. What good does that do? It reviews the year for you. It’s difficult to remember what you did and what you accomplished and the written review is a great way to bring it all back.

Another way is to take a close look at your department. Does it run more efficiently since you’ve been employed there? Did you develop a key to improve intra-office communication? Are backorders reduced by 80% because of a process you created?

Note to self: To make this process easier for future jobs, keep a journal of your activities and achievements so that it can be referred to at any time.

What if you were never there…

Just sit back and close your eyes and run through a typical day at work. How has it changed since you started? Has it gotten better? Of course! You made it better. Think about who you come in contact with and how you impact their productiveness and efficiency. You’ll be surprised by how much impact you have on your co-workers – and even your bosses.

When you start to even think about job hunting, be aware of the day-to-day tasks that occur. Some seem minute; others not so much. How do you contribute to the meetings you’re involved with on a weekly or monthly basis? All these ‘little’ responsibilities and achievements can add up to something great.

Remember - think highly of yourself

As a professional resume writer, I base my whole approach to resumes on the idea that they are marketing documents rather than career histories. So I like to read marketing and branding blogs to keep myself fresh. One of my favorites is Copyblogger, and this morning I came across this post.

Chris Barrett asks "Are You In Love With Your Own Writing?"

  • In copy, online or off, you have to choose one point. Get your message across, then stop.
  • If you can’t distill your message down succinctly, then try harder. Every minute of additional effort on your part reduces the effort on the part of the reader, and that leads to more successful copy. Don’t force your reader to wade through a Wikipedia-sized reference when a few paragraphs will do. The easier you make it, the more successful your content will be.

This is just as true of resumes and cover letters as it is of marketing copy. I just finished working with a client - an accomplished executive with a diverse and interesting background. We went back and forth on changes for weeks. He loved his new resume - and he was thrilled with the number of interviews it was generating - but every few days, he decided he wanted to add just one more piece of information. And every time, I'd suggest that either (a) we left things as they were or (b) we deleted something to make room, because otherwise the things was going to keep growing and growing.

Your resume is a marketing brochure not a product catalog. It has to say just enough to make the sale and not one word more.

Video resumes are getting a lot of press as the next big thing in the age of YouTube and blogs. But are they they really resumes? Should they be? Are they necessary?

My answer is a resounding NO!

There is NO point to a video resume if it's a reading or retread of a traditional resume. Why bother? If you're a savvy job seeker or career activist, you've already got a resume, a LinkedIn profile, and maybe even a blog or web page.

In my opinion, the real job of the video "resume" is to create connection and interest. So if you want to post a video resume on your blog, your website, or send it to an employer or recruiter, why not make that 30-second presentation a branded video profile that will do exactly that?

So, video resume, no. Branded video profile (a.k.a exciting 30-second video commercial), yes!

But before you create a video profile, do what ad agencies and marketers do. Do your homework! You must know who you are, who you want to target, and why you are valuable. Because like anything else in job search and career management -- even though you think it's all about you, it isn't! It's really about who you want to attract -- plain and simple. What they want, what they need, and do you have it?

So if you're going to create a video profile, be BOLD. Be a brand. Be a resource.

Remember, great bold brands attract and repel in almost equal measure. You don't want to be all things to all people, nor could you be if you did want to. So how about working on the attract part?! Be unabashedly who you are (brand) and be proud and energetic in your presentation of value (value proposition).

Be sure that your value proposition is immediately compelling, completely aligned with your targets' current needs, and will make a company salivate (or at least make 'em hungry).

Of course, it's a given that you need to work your video presentation style to reflect the culture of your field -- if you're in a highly traditional industry, a super creative presentation will be counter-productive.

But whatever format you choose, make your video profile shine with individuality and differentiation to create chemistry. Power it with a cluster of accomplishment sound bites that support that clear value proposition. Without that energized, personality-infused value prop, any job-search presentation or networking profile/pitch (written, verbal, or video) is weak and doomed to mediocrity.

If at all possible, work with a professional to make sure you are dressed for success (clothing reflects your brand), are lit well, are in an appropriate non-distracting setting, have good audio, etc. An amateur web cam video may seem like a cost efficient idea, but investing in a professional presentation will almost certainly pay off in better quality and results.

Time to put away the modesty

It’s difficult for some people to write about themselves and not downplay their achievements. That spells doom for a resume and the respective job search that goes along with it. Your resume will fail if you are modest to the point of not showcasing all the high achievements that makes you a ‘catch’ for that employer.

Now, I don’t want this to be misconstrued into something about over exaggerating and lying. That is not okay. There are so many ways an employer can find out the truth that it’s not worth the risk. Besides, can you imagine how foolish you’ll feel if you get the job and are expected to be fluent in something that you know nothing about? You’ll lose respect from your supervisor, not to mention your co-workers. It’s just not worth it.

If ‘tooting your own horn’ is an issue, you have to get over it. Pronto. This is your career you’re talking about.

The purpose of your resume is to make the reader want to interview you. Resumes should be informative, concise, consistent, and should highlight intriguing skills and experience. They should grab attention early and provide a concentrated, convincing argument that you perfectly match the position at hand.

The basics
Those who have been in the workforce for several years would customarily list professional experience first, followed by education and other elements such as publications or skills. Most resumes use reverse chronological order, listing the most recent experience first with the rest following chronologically. This type of resume gives a prospective employer a sense of where your career is headed and how it evolved into what it is today.

For entrepreneurs, sales personnel, recent graduates, and others with less-than-standard experience, an alternative format called the functional approach might make more sense. This format puts an emphasis on your abilities and achievements, categorizing your experience by industry, type of position, skill, and what you did rather than when you did it.

There is no right or wrong way to write a resume. Whatever sets you apart from the masses while requiring a minimum of effort for the recruiter will probably be your best bet. Here are some general guidelines to follow.

  • Be concise. Unless you have been working for a long time, stick to one page. Even with extensive experience, a resume should rarely exceed two pages.
  • Use vivid language. Include hard facts showing your impact on the company. Employers want to know what you did and how closely that experience matches their needs. Use action verbs and eliminate pronouns. Be grammatically consistent and proofread rigorously for mistakes.
  • Go easy on the eye. Graphics in a resume should make it easy to read. Use topic headings and lots of space. Forget clip art. Use one typeface. Pull the reader in from the top. Be creative, but clean with the layout.

Tell them what they need to know
Resumes should start with your name, address, e-mail, and phone numbers. Include your education, accomplishments, and related experience. List unique talents or specialized skills in hot demand, like those related to computers.

  • Objective. Write one line stating your career direction and the job title you seek. It will direct your resume to the proper department and provide a key to interpreting the contents. This statement will be of greater strategic value if you have a specific focus or are in the midst of a career change rather than if you are just starting out and unsure of your career path.
  • Education. List schools, years attended, graduation dates, degrees, majors or concentrations, and awards. Highlight a master's thesis topic or academic honors. Put your most recent or most impressive educational achievement first. If it is not your highest degree, leave out high school unless it's extraordinary.
  • Experience. List your employers, job location, employment dates, job titles, and descriptions of your tasks, accomplishments and skills. Use statistics.
  • Skills. Highlight your computer, language, or other technical skills. List software you have worked with including any unique programs or expertise. For an Internet job, list any certifications or Web programs and computer languages you are familiar with.

Title the sections of your resume as you prefer, but remain consistent grammatically.

The order of the resume should reflect the position being sought. If your computer experience is more relevant to the job than your work history, put your computer skills first. If your educational achievements outweigh your actual experience, put them up higher. List other personal information at the bottom.

Use discretion beyond the basics
Include a personal summary to provide a concise rundown of your career, particularly if you are an established executive or have an array of job experiences. Highlight volunteer work or memberships in nonprofits if you are applying for a related position. Include a brief section on your hobbies to present a more complete and interesting picture, although you run a risk that the information could prejudice your resume.

Leave out overtly personal data, salary information, or negatives like health or legal problems.

Customize as needed
When you are ready to apply for a position, tailor your resume to that job. Highlight your qualities by addressing the specific needs listed in a classified ad or employer's description. If you have no direct experience in the field, pay special attention to related skills. Even with experience, show how your talents suit the position.

Update constantly
Update your resume every time you accomplish something new to capture what's important and remain ready for new opportunities, without struggling to get something together under a tight deadline or stressful circumstance.
