POSITION TITLE - Administrative Assistant PURPOSE OF POSITION The primary purpose of this position is to perform secretarial and administrative tasks, in a confidential manner, for the Executive Assistant to the Executive Director, the Executive Director, the Liaison to the company?s Chairman, and the Chairman. MAJOR DUTIES Provide day-to-day full range of administrative support to the Executive Assistant to the Executive Director, and the Executive Director, including but not limited to word processing; opening and sorting mail; calendar coordination; domestic and international travel arrangements; filing; copying; faxing; expense reports and answer/screen telephone calls, etc. Provide administrative support to the Liaison to the company?s Chairman, and the Chairman, including but not limited to word processing; handling of mail; maintenance of calendars; filing; copying; faxing; phones; expense reports and travel arrangements. Assist the Executive Assistant with coordinating meetings, appointments, and teleconferences, as needed, including meeting room requirements, hotel accommodations, food and beverage, and a/v requirements. Take minutes of meetings and provide on-site assistance for projects, as requested. Assist the Executive Assistant with various department projects (i.e., Board Book preparation and mailing, PowerPoint presentations, order and maintain supplies, etc.). Assist the Executive Assistant with tasks associated with the company?s Board meetings, Annual and Semiannual meetings. Assist the Liaison to the Chairman with tasks associated with the President?s Suite. Assist the Liaison to the Chairman with tasks associated with international travel for the Chairman and the Board. Assist the Executive Assistant with the management and maintenance of the company?s Family Calendar. Handle special and independent projects as assigned. INTERNAL RELATIONSHIPS Reports to the Executive Assistant to the Executive Director; and performs tasks for the Executive Director, the company?s Chairman, and the Liaison to the Chairman. EXTERNAL RELATIONSHIPS / ACCOUNTABILITY Frequent contact with Senior Management staff, the company?s Board members, the company?s volunteers, the company?s Section staff, and other event oriented organizations. TRAVEL DEMANDS Some travel. Approximately six (6) Board of Directors meetings; the company?s Annual and Semiannual meetings; and on-site assistance at other events. QUALIFICATIONS / OTHER Strong PC skills. Proficiency with MS Office (Outlook, Word, PowerPoint, Excel.) Attention to detail; strong customer service skills and interpersonal skills. Exercise exceptional judgment and works independently. Well organized and dependable. 3-5 years administrative support experience. Strong verbal communication skills.
